The American Heart Association (AHA) has an excellent opportunity for a Program Coordinator, Strategically Focused Research Programs in our National Center office located in Dallas, TX .
The Program Coordinator provides administrative and technical support services in the research applications and awards process for the National Center as well as day-to-day application and grants management services for applicants and other parties associated with applications, awardees, and institutional grants and fiscal officers. You would conduct data quality reviews for the team and assist customers in understanding and interpreting AHA policies and procedures to ensure compliance on applications and awards. Additional responsibilities include:
Awards Management:
- Manages contract agreements for awarded projects and networks
- Manages award activation process (collecting forms and resolving concerns)
- Monitors awards for compliance with AHA policies and procedures
- Manages award payment process
- Reviews annual financial reports for compliance with policies
- Monitors annual scientific report submissions
Application Management:
- Supports annual submission of approximately 5000 applications
- Provides information and consultation to all customer groups (applicants, institutional personnel, sponsors and referents)
- Manages applications for compliance with program requirements and adherence to AHA policies and procedures
- Manages notification to applicants and institutions
Add Special Projects:
- Data Quality Reviews to evaluate the accuracy of information and payments for transferring and terminating awards and documents findings to management
- Manage project timelines for the team and ensure compliance with deadlines
- Manage the secondary review process for Fellow-to-Faculty awards: recruit reviewers, schedule and staff conference calls, collect and disseminate materials needed for the reviews, communicate decisions to investigators, sponsors and institution and make corresponding changes as needed to award payments
- Manage/organize record retention of award agreements and payment information
- Provide primary staffing for peer review committees as assigned
- Assist management with special projects as needed/assigned
- Minimum two (2) years of related experience required
- Strong customer service and organizational skills
- Ability to communicate information accurately and effectively to diverse audiences
- Experience working with volunteers, particularly science volunteers
- Experience working with databases and electronic reporting tools
- Strong attention to detail
- Strong computer skills (Word, Pwr. Point, Excel.)
