Program Coordinator, Brain Health & Cognitive Impairment

The American Heart Association (AHA) has an excellent opportunity for a Program Coordinator, Brain Health & Cognitive Impairment in our National Center office located in Dallas, TX.

The Program Coordinator is responsible for providing administrative and technical support services within the research applications and post-awards process for the strategic Brain Health & Cognitive Impairment initiative, as well as grants management services for applicants and other parties associated with applications, awardees, and institutional grants and fiscal officers. Additional responsibilities include conducting quality reviews for post-award reporting, consults with applicants/awardees to communicate and interpret AHA policies and procedures, and ensures compliance on applications and awards. Additional responsibilities include:

Areas of Responsibility: 

Awards Management:

  • Processes contract agreements for awarded projects and strategic networks.
  • Manages award activation process (collecting forms and resolving concerns).
  • Monitors awards for compliance with AHA policies and procedures.
  • Manages award payment process and monitors deliquent reports for compliance.
  • Reivews annual financial reports for compliance with policies.
  • Monitors annual scientific reports submissions.

Application Management:

  • Provides information and consultation to all customer groups (applicants, institutional personnel, sponsors and referents)
  • Manages applications for compliance with program requirements and adherence to AHA policies and procedures
  • Monitors on-time submissions and manages exceptions to deadlines.
  • Manages notification to applicants and institutions.

Add Special Projects:

  • Data quality reviews to evaluate the accuracy of information and payments for transferring and terminating awards and documents findings to management.
  • Ensures project timelines for the team and work with the coordinators to ensure compliance with deadlines.
  • Collaborates with peer review staff and provides staffing for peer review meetings, including conflict-of-interest management and phone monitoring.
  • Schedules and staffs conference calls, webinars, and face-to-face meetings for volunteer committees and awardee teams/groups, in conjunction with management team.
  • Manages record retention of award agreements and post-award data records.
  • Assist management with special projects as needed/assigned.
Educational Background: 
High School Diploma or GED.
Skills/Experience: 
  • Minimum two (2) years of project coordination or related experience.
  • Basic accounting process experience and excellent math skills.
  • Strong customer service and organizational skills.
  • Ability to prepare written and presentation communications.
  • Excellent oral and written communication skills, including impeccable grammar.
  • Strong computer skills (Word, Pwr. Point, Excel.)

Here are some of the preferred skills we are looking for:

  • Bachelor’s degree from a four-year college or university.
  • Meeting and/or event planning experience.
  • Experience managing application, notification and awards processes preferred
  • Experience in research administration with a funding organization
  • Experience / proficiency with electronic research administration system
