The American Heart Association (AHA) has an excellent opportunity for an Administrative Associate located at our National Center office in Dallas, TX!

Under the supervision of the National Director of Operations, Mission Advancement, the Administrative Associate will provide administrative support as assigned, to ensure completion of the American Heart Association goals and objectives, with an emphasis on (but not limited to) Charitable Estate Planning.

Areas of Responsibility: 
  • Process Mission Advancement reply correspondence including requests for CEP brochures through the CEP website, emails, social media, the National Engagement Center, caging & capturing, direct mail and email ackowledgement response cards and Dear Neighbor program. Accurately and completely enter data/information into the Money Maker database (MM) and Blackbaud CRM (BBCRM) on a daily basis, scanning originals as directed.
  • Sort hard copies of direct mail response pieces by CEP Advisor, scan and email weekly to appropriate field staff.
  • Partner with the Direct Response team and Systems Support Manager to maintain accuracy of databases by updating them weekly on deceased donor information, address changes and requests by donors or prospects to be taken off mailing lists. Serve as back up data entry to other functions as needed during high volume processing periods, as assigned by supervisor
  • Hot Leads Notifications. Scan and email hot leads daily to staff
  • Maintain Planned Giving inbox and forward hot leads to Advisors and Estate Settlement Administrators daily.
  • Maintain inventory of national Mission Advancement collateral and send out monthly update of items available for Mission Advancement Advisors to order, such as free giveaways and mission materials (including Annual Report and Impact Report). Send out requested materials to Advsiors as requested.
  • Mail fulfillment- Seasonal mail fulfillment (holiday cards, chocolate hearts, other) and birthday card fulfillment
  • Other job duties as assigned
Educational Background: 
High School Diploma or Equivalent
Skills/Experience: 
  • At least one year of relevant experience
  • Exceptional skills in data entry and office administration
  • Experience with confidential and sensitive information
  • Demonstrated expertise in office management procedures, scheduling systems and large scale file maintenance
  • Ability to work independently, excellent organizational skills, ability to conceptualize, prioritize assigned projects/tasks, make effective decisions and manage multiple projects without supervision
  • Excellent PC/word-processing skills in appropriate software
  • Excellent interpersonal skills, a collaborative work style, and customer service approach with both internal and external partners
  • A demonstrated commitment to high professional ethical standards and a diverse workplace
  • Communication skills are critical to this job. This includes speaking and listening but also the ability to communicate in written form. English fluency in all manners is required

Preferred Experience:

  • Blackbaud CRM experience preferred
  • Neat and legible penmanship/cursive handwriting
