Field Projects Manager

Responsible for leading planning and execution of association-wide projects and strategic initiatives on behalf of the Chief Operating Officer and Executive Vice President for Strategy Integration. Responsible for developing messaging concepts with polished and effective executive communications in support of executive-level meetings and conferences. Responsible for providing expertise and training in technology solutions, internal customer service and internal communications for the Gold Standard Board (GSB) program, which recognizes the composition and accomplishments of AHA local division boards across the country.

Areas of Responsibility: 
  • Develop implementation plans for association-wide projects and strategic initiatives for the COO and EVP of Strategy Integration, such as financial reporting, goal setting and executive performance management. Collaborate with appropriate internal staff and departments to develop systems and processes for projects assigned. Provide direction to colleagues and conduct research to successfully gather information, complete projects, and develop new ideas. Projects may be complex, concurrent and involve multiple stakeholders across the organization.
  • Establish and deliver technology solutions for the GSB program. Develop and execute training programs for field staff regarding use of SharePoint and Dynamics tracking tools. Continuously evaluate the effectiveness of all processes and technology solutions. Identify improvement opportunities and lead development and implementation efforts in close coordination with Business Technology and end users.
  • Develop and implement internal customer service and internal communications for all participants in the GSB program. Manage the year-end award process, including data submission, evaluation and recognition. Promote understanding of criteria and reporting needs to maintain GSB program.
  • Conceptualize and develop polished and effective communications (PowerPoint presentations, emails, scripts, talking points, Excel reports, Word documents/tables, charts, graphs, etc.) to support the broad communication needs of the COO and EVP of Strategy Integration. Stay abreast of current events, business and philanthropy news and cultural trends to incorporate into assignments and share as appropriate.
  • Proactively drive the planning, preparation and deliverables for COO/EVP meetings, events, and engagements. Work with colleagues to further/better organize the team by staying on top of key dates and deadlines, gathering, compiling and archiving materials and resources, and developing processes and procedures for departmental outputs.
  • Support the planning and execution of regular/recurring executive-level meetings and conferences. This includes future planning, agendas, exhibits, logistics, and action item follow-up. Formats include face-to-face, web-based (Skype, Adobe Connect) and teleconference.
Educational Background: 
Bachelor's Degree or equivalent work experience
Skills/Experience: 
  • Five (5) years of experience working in progressively responsible project management roles, preferably within the non-profit setting; demonstrated success managing multiple concurrent projects.
  • Three (3) years of experience developing and delivering training to staff, preferably including web-based technology user training.
  • Strong communications and writing skills, gained from experience developing a range of communications.
  • Proficient with a variety of technologies, including customer relationship management (CRM) applications, databases and other solutions.
  • Advanced skills and strong experience building compelling PowerPoint presentations.
  • Proficient skills in computer applications for advanced document development, spreadsheet development, charts/graphs, simple website design and maintenance (SharePoint), and graphic design concepts.
  • Ability to analyze data and interpret into narrative and visual form.
  • Strong executive presence and ability to communicate effectively with all levels of staff and volunteers.
  • Effective time management and organization skills. Experience working in a fast-paced, dynamic environment. Excellent in working against deadlines to provide an end product.

Preferred Qualifications

  • Two (2) years of experience developing and managing processes (and process change)
  • Two (2) Experience supporting departmental operations.
  • Basic understanding and experience in non-profit fundraising or experience within a fundraising, marketing or sales team.
  • Graphic design experience creating compelling info-graphics using Adobe Creative Suite, InDesign, or other software.
  • Experience coordinating web-based meetings via Skype and Adobe Connect.
