The American Heart Association (AHA) has an excellent opportunity for an Administrative Associate in our Great Rivers Affiliate office located in our Columbus, OH office. The organized, enthusiastic, self-motivated Associate will provide support for changing the lives of individuals in the Columbus area through the Go Red For Women movement. Responsibilities will include supporting the Go Red For Women initiative and assisting with the implementation of the Go Red For Women Luncheon event.
Areas of Responsibility:
- Provides administrative, clerical and logistical support and excellent customer service in support of two Go Red For Women Directors and all aspects of fundraising events which includes year-round cultivation activities, day-of-event, meeting support, volunteer management, taking/placing phone calls and e-mails to current or potential partners.
- Performs donor/fundraiser data entry, generates donor/fundraiser reports, inputs/tracks sponsorships, manages contracts, enters matching gifts and other donations.
- Handles cash, credit card and check deposits in support of the Go Red For Women event.
- Assists Directors in preparing for committee meetings as needed. Attend committee meetings and record minutes as needed. Arrange for meeting space, room set-up, meals, equipment, etc.
- Performs financial coding and Accounts Payable and Accounts Receivable work, including managing budget reports (use of IQ4bis & E1)
- Acts as a project manager to support to AHA’s signature fundraising event(s). This includes all logistics associated with Go Red For Women Luncheon, a fashion show event, working with media partners, survivors, vendors and organizing auctions.
- Provides additional event support as needed for other events in the market.
- Manages volunteer groups and interns to achieve organizational goals which include fundraising, event logistics and driving awareness for the cause.
- Serves on a team of Administrative Associates in the Columbus office to include additional support including mail, welcoming visitors and other general office duties.
- Other duties as assigned.
Educational Background:
Minimum of two year degree in business/office/administrative field preferred
Skills/Experience:
- At least 2 years of experience in an office setting as an administrative assistant or similar role
- Excellent communication skills, both written and oral
- Strong computer skills, proficiency with Microsoft Word, Excel, Power Point, database, reporting and financial tools with strong attention to detail/accuracy
- Tech savvy with ability to learn and master new technology quickly
- Strong Microsoft Publisher experience-ability to create and edit event collateral
- Ability to complete administrative related tasks such as reviewing, responding to and typing letters, reviewing documents, manuals and other office correspondence
- Independent, self-motivated worker
- Analytical problem solving skills
- Ability to manage multiple projects and timelines
- Ability to prioritize and change direction quickly with tasks and projects
- Ability to interact with and provide excellent customer service to all levels of business professionals
