The American Heart Association (AHA) has an excellent opportunity for a Human Resources Administrative Associate located in our Columbus, Ohio office. The Administrative Associate provides outstanding employee customer service as well as administrative and project support for the Human Resources & Talent Development department staff.
Areas of Responsibility:
- Provides administrative services for HR transactions throughout the employee life cycle from job seeker to new hire to retirement. Responsible for initiating timely and accurate data entry into HRIS and updating other data sources including personnel files, table of organization, e-mail and voice-mail distribution lists, etc., orders name badges, prepares mailboxes, security fobs, and other items needed by staff. Serves as liaison with payroll and human resources shared services, business technology and facilities departments to ensure that payroll is accurate, and that staff computer, phone and workspace align with staff changes.
- Provides outstanding customer service to approximately 280 staff plus interns, applicants and former staff in matters related to human resources, payroll and employee relations in accordance with all applicable policies, laws and regulations and in a manner that is presented positively, customer-centric, sensitive, confidential and appropriately utilizes shared service center.
- Provides administrative support for five HR staff members which may include, but is not limited to, preparing correspondence, preparing expense reports, submitting purchase orders, scheduling interviews, placing employment ads, facilitating pre-employment testing and post-offer background checks, sending rejection letters, filing interview notes, recruitment and selection materials and personnel records and destroying them in accordance with record retention guidelines, booking travel.
- Provides meeting support from planning and preparation, booking rooms and venue, ordering meals for meeting participants that align with AHA guidelines, booking hotel rooms for meeting participants, communicating confirmation numbers, coordinating elements of travel, managing contract and payment, preparing meeting materials, convening site coordinators and business technology, testing and running technology during meetings.
- Manages intern program for affiliate ensuring appropriate background checks are completed and technological resources are set up and recovered as appropriate.
- Enthusiastically conducts outreach activities, and logs as appropriate, with organizations and individuals focused on connecting diverse candidates with job openings at AHA.
- Serves as the affiliate subject matter expert for Time & Attendance system), conducting relevant research and making appropriate entries such as for holiday hours.
- Maintains the HR SharePoint site and writes select content for internal e-newsletter.
- Supports elements of wellness program including prize ordering, recognition program, including award ordering and preparation and a variety of compliance efforts.
- Other duties and projects may be assigned to the role, which provide general assistance as needed to support the mission of the American Heart Association.
- The Administrative Associate processes applicant, employee, and intern records, provides outstanding customer service and HR expertise, and provides administrative and project support for the Human Resources and Talent Development Department staff.
Educational Background:
High school diploma or GED required with college coursework in Human Resources preferred.
Skills/Experience:
- Minimum two years of experience in a professional office setting with one year in human resources department preferred.
- Intermediate knowledge and skill with Microsoft Office 2010 or higher used for word processing, email, presentations, and spreadsheets. Must have strong knowledge and successful usage of Microsoft Outlook calendar management. Advanced knowledge and skill with these programs is preferred.
- Strong business writing skills including the ability to prepare routine correspondence. Strong attention to details and usage of proper grammer in all correspondence.
- Strong verbal communication and telephone skills with tone and mannerisms that are consistently positive, helpful, engaging and solution-oriented.
- Effective time management skills including ability to upkeep a transparent calendar. Proven ability to be a dependable and reliable team member.
- Strong sense of confidentiality, high degree of integrity, strong work ethic, self-starter and ability to work independently.
- Strong customer service skillset which includes positivity, timely completion of requests and projects, having a sense of urgency with workload and ensuring customers are receiving responses to requests within 24 hours.
- Attention to detail - a critical success factor.
- Proven experience with meeting and travel coordination.
- Ability to work in a team environment and interact effectively with all levels of staff.
- Ability to initiate and nurture relationships with internal and external constituents.
- Goal-oriented and solution-minded with a knack for process improvement.
- HRIS experience is a plus.
- Knowledge of wage and hour and employment laws including EEO and AAP is preferred.
- SharePoint experience is a plus.
- Ability to maintain a professional appearance during normal working hours.
- Ability to work 5 days per week from 8:30a-5p with a one-hour lunch break.
- Physical ability to work at computer for the majority of the day and maintain employee files which include reading, writing, ability to bend, stoop and open and close heavy fireproof file cabinet drawers.
