To provide professional front-office duties and a wide range of administrative support services to the World Vision Lanka National Office. He/She will also assist the Administration team in general administrative & related service as needed for the smooth functioning of the national office and its operations.
Areas of Responsibility:
- Manage the World Vision Lanka Switchboard, directing calls appropriately, ensuring friendly and courteous services at all times
- Receive, screen and process incoming and outgoing fax communications, mail delivery, couriers as required
- Be the back-up for coordinating air ticket reservations, visa issuance & related functions working with relevant internal departments as well as external service providers including travel agents, embassies etc. for timely provision of required services
- Provide administrative and secretarial support including payments for suppliers/service providers, event management support, updated WVL office & staff contact/directory as needed.
- Coordinate the timely settlement of bills with the Admin Support staff ensuring uninterrupted supply of utilities and outsourced services of WVL
Educational Background:
Minimum GCE Advance Level examination/ Diploma will add value
Skills/Experience:
- Flair for public relations with at least one years’ experience working in a similar role
- Excellent telephone etiquette & ability to communicate clearly and professionally
- Good communications skills in English both written and spoken with ability to communicate in Sinhala and/or Tamil
- Able to work in a computerized environment (preferably with ability to handle MS Office) and able to handle internet/email communications independently
