Assist in the coordination of activities of and conduct accurate entry of donations and the donor data relevant for stewardship activities, such as demographic, biographical, financial, and philanthropic information. Primary responsibilities will be to process donations received via wire transfers that have little or no documentation and will require investigation, research and communication with donors and FANO staff.

Areas of Responsibility: 
  • Assist with the identification and research of third-party processors. Maintain CRM dashboards, create campaign codes, execute data integrity reports and create process documentation. Serve as liaison to Direct Marketing for third party processors and provide metrics and communicate out revenue stream(s) activity anomalies, problems or developments.
  • Establish and maintain a comprehensive knowledge of all aspects of gift and pledge handling that comply with both Feeding America policies and business processes as well as the IRS gift counting guidelines.  Additionally, assist in ensuring that records are maintained for legal, audit and donation record purposes.
  • Manage all Digital Marketing and partner test transaction processing and adjustments.
  • Contribute to the creation and maintenance of work instructions; solicit input to create, maintain and update documented business rules/processes to be used by vendors and other users of the constituent database. 
  • Acts as a liaison between Finance and Philanthropy Operations about preparation of adjustment requests.  Disseminates reconciliation information to appropriate parties and ensures accuracy of the data and timely response.
  • Oversee all direct platform payment processing (i.e. Stripe, Amazon, PayPal Charitable Giving, Betterment) including documenting new processors, identify and track inbound donations, manage the calendar for recurring donations that are due to FA to ensure recording and reconciliation with finance.
  • Develop and recommend needed/updated data points based on direct work with information; through collaboration, develop and maintain constituent data architecture across the Feeding America enterprise. 
  • Create listviews needed to ensure accuracy and to perform mass data changes within the database.
  • Maintain the Philanthropy database for data pertinent to fundraising on donors and constituents, including demographic, biographical, financial, and philanthropic information.  Plan, execute, monitor, and control activities related to adding, updating or deleting data in the constituent database for fundraising and/or advocacy.
  • Research donations that have minimal to no information received to determine origin of donation, type of donation and retrieve all related electronic detail available for donations.  Coordinate related mass upload with the systems and data management team.
  • Record philanthropic donations accurately.  Coordinate the accuracy of entry using the accompanying documentation and information provided by the donor, other Feeding America staff, Relationship Managers and others to determine the correct donor, fund allocation, transaction coding, pledge payment schedule and other critical information.
  • Run daily maintenance reports and ensure data accuracy by running data entry verification reports, correcting mistakes, and communicating all amendments to staff. 
  • Create daily for gift and data management batches and assign to staff for entry.
  • Compile and distribute the Daily Donor Notification daily to all revenue streams.
  • Serve as a subject matter expert on securities, mutual funds and bond donations with Northern Trust broker and Feeding America donors.
  • Through electronic and paper form submissions, manage Matching Gift notifications, verifications and confirmations ensuring that matching gifts are completed and processed in a timely manner. Audit matching gift handling though the caging facility.
  • Identify and escalate to donor stewardship team to improve donor experience.
Educational Background: 
Bachelor’s degree or relevant experience
Skills/Experience: 
  • 3+ years’ work experience in fundraising operations

  • Must be accurate, well organized, and a self-starter.
  • Must have strong computer experience, including proficiency in Microsoft Office applications, especially Word and Excel.
  • Willingness to investigate issues and follow through to resolution.
