Provide detailed coordination and administrative support for the National Council (NAC) under the direction of the Manager of Administration, working closely and in partnership with the Director of Network Relations and NAC Liaison. Manage communication support internally and externally for the NAC while providing all NAC members with the tools they need to serve. Join rotation for Chicago reception desk support regarding lunches and other breaks as needed as well as extended absences.  Collaborate with the administrative team for back-up support to other members during absences and peak demand.  back-up support to other members during absences and peak demand.  

Areas of Responsibility: 
  • Facilitate the execution and refinement of five in-person meetings annually and monthly calls, including overseeing all scheduling, material coordination, space and audio-visual set-up, food ordering, and on-site support.
  • Arrange hotel and meeting space, including managing meeting logistics, for the National Council and its Committees. Negotiate hotel rates and manage hotel contract and relationships for NAC member meetings in Chicago, DC, and other cities as required.
  • Provide on-site support for NAC meetings held outside of Chicago, traveling to Washington, DC, or other cities as needed.
  • Manage all National Council communication vehicles, including email distribution lists, contact lists, HungerNet, and BoardEffect content.
  • Serve as National Council documentarian and archivist, including managing HungerNet information accessible to the NAC, the network, and Feeding America staff. Maintain and update resources that support the NAC’s effectiveness.
  • Provide support for the recruitment of NAC members through developing materials and supporting outreach and communication.
  • Assist in onboarding and ongoing training and support of NAC members through coordination of training materials and execution of annual board effectiveness self-assessment.
  • Serve as internal point of communication for updates from all member-facing committees.
  • Serve as main point of contact for NAC member’s and executive assistants on all topics relating to meeting logistics.
  • Provide counsel to the Director of Network Relations regarding challenges and successes of NAC involvement at FANO.
  • Support Partner State Associations through managing all PSA related communication vehicles, including email distribution lists, contact lists, and HungerNet.
  • Process invoices for payment and contracts
  • Support the management of the NAC budget, including funds tracking, reimbursement oversight, and budget tracking.
  • Assist with meeting and event coordination as needed, by request of the Manager of Administration.
  • Serve as back-up for the Chicago reception desk in a rotation providing relief for lunch and other breaks as needed as well as extended absences. 
  • Provide back-up and peak demand support for other administrative team members including but not limited to: basic calendar scheduling, travel scheduling, and expense reporting.
  • Maintain professional relationship with all members of the National Council, and all other network members, as a representative of the Feeding America National office.
  • Handle sensitive information in a confidential manner.
  • Complete tasks accurately with high quality and in a timely manner.
  • Located at Feeding America’s Chicago office.
Educational Background: 
High School diploma or relevant experience. Some college preferred
Skills/Experience: 
  • At least 3+ years of experience in administrative support to C-Suite executives

Required Technical Competencies and Experience

  • Experience managing travel arrangements and scheduling effectively and accurate/timely reporting of expenses.
  • Proficiency with Microsoft Office Suite and Outlook applications with the ability to quickly learn other applications.
  • Experience drafting and editing correspondence, presentations and inter-office communication.
  • Successful experience in a service-oriented capacity where balancing differing stakeholder needs and interests is required.
