Lead, plan and execute the organization’s conferences and ad hoc convening and serves as an event strategist to continually elevate the attendee value and organizational impact of our convenings.  Develops and evaluates budgets for team throughout the year.  Serves as the primary staff liaison to meeting management partners and external vendors.  Manages planning meetings and works in collaboration with executive sponsors and chairs to develop and execute content aligned with objectives.

Areas of Responsibility: 
  • Lead the day-to-day and ongoing operations of assigned conferences.  Directly supervises onsite conference staff.
  • Develop, implement and monitor the budgets for all assigned events.  Establish and maintain relationships with various vendors, service providers and meeting facilities. Negotiate pricing and new contracts as needed.
  • Oversee all conference marketing and promotional efforts and ensure that all avenues of communication are being maximized. 
  • Lead the development, execution and evaluation of all aspects of assigned conferences and related events including but not limited to overall meeting format, session offerings, social events, exhibits, vendors, speakers, VIP guests, staff assignments, attendee feedback, etc.  Oversee all pre, on-site, and post-meeting logistics.
  • Initiate all speaker contracts and oversee all logistical details as needed. Assist with travel arrangements when necessary.
  • Research and pursue new learning and engagement ideas and technological tools to enhance events.
  • Develop sponsorship opportunities and exhibit space, etc. and maintain relationships with all primary contacts to encourage ongoing/future participation.
  • Work with venues to determine and finalize spatial, food/beverage, audio/visual needs, and any special arrangements. 
  • Guide the development of assigned conference online registration and direct the implementation of all policies and procedures related to registration.  
  • Stay apprised of organization’s strategy to ensure our conferences have enhanced relevance, value and impact.
  • Maintain ongoing communications with and provide support to conference executive sponsors and chairs and follow through on all related planning aspects.
  • Serve as a resource to session owners on laddering content up to conference theme and objectives.  Provide guidance on engaging attendees in both general session and breakout formats.
  • Other duties as assigned in support of the Network Learning and Engagement Team’s workplan, such as supporting the Learning Management System and Sales Prospectus.
Educational Background: 
BA/BS or relevant experience
Skills/Experience: 
  • 5+ years of relevant experience in conference management, program management, adult learning, training and development

Required Technical Competencies and Experience

  • Previous conference management required
  • Proficient in MS Office applications.
