The Donor Relations Manager will work closely with the team on all aspects of the Strategic Initiatives Fund, including day-to-day grant monitoring and management, sub-granting, grant reporting, and other stewardship activities for each assigned donor-funded project to ensure that all contractual obligations/deliverables are met.  The incumbent also will organize donor activities such as site visits, quarterly “deep dive” presentations, and other events to showcase the Y’s work and enable the donor to learn more about the projects in which they’ve invested, meet Y-USA and local Y staff conducting the work, and better understand the kinds of impacts projects are having on local communities.  In addition, the Donor Relations Manager will support SIF’s annual proposal development process by helping project teams at Y-USA or within the Y Movement to conceptualize and bring forward compelling project ideas for funding consideration by SIF’s donor.    

Areas of Responsibility: 
  • Develops and manages grant administration and stewardship calendar for each assigned account to ensure all contractual obligations are met or appropriately addressed.  Monitors projects, including timelines, goals/objectives, outcomes and budget spending for each assigned donor account
  • Interacts with staff throughout Y-USA, remote locations, and local YMCAs in order to implement national donor relations initiatives
  • Serves as primary contact for assigned accounts, responding to incoming questions, concerns and solicitations from either grant staff, SIF’s Senior Director or SIF’s donor
  • Monitors donor-funded projects, including timelines, goals/objectives, outcomes and budget spending for each assigned donor account
  • Gathers feedback and success stories related to each funded initiative; writes narrative and budget reports on use of funding for monthly, interim and annual donor reports; ensures overall reporting is compliant with donor format/standards
  • Manages process to sub-grant donor funds to local Ys, ensuring all application materials, selection criteria, grantee selections, and grantee reports reflect donor preferences and proposal requirements
  • Provides prospective grantees with proposal development assistance, as needed
  • Helps plan stewardship events and activities, such as site visits and webinar presentations; and plans and implements donor recognition efforts, as needed 
  • Manages special department projects, as requested
  • Performs other duties as assigned by SIF’s Senior Director
Educational Background: 
Bachelor’s degree or equivalent experience is required.  Master’s degree is preferred
Skills/Experience: 
  • Minimum of 5 -7 years of experience in project or grants management, fundraising, account management, donor stewardship, project coordination or related field is required
  • Must possess a demonstrated record of success in project management; superb organizational skills and diligent attention to detail, with the ability to plan, track and complete long-range project deadlines and goals
  • Excellent verbal and written communication skills are required, including the ability to write/edit technical reports on donor-funded initiatives.  Must also have strong public speaking skills
  • Knowledge of donor database applications is required; Raiser’s Edge software experience is preferred
  • Must have experience with reading and understanding budget reports
  • Ability to deal with rapidly shifting priorities, adapt quickly to change, and react professionally and effectively to incoming initiatives from donors or Y-USA leadership
  • Strong interpersonal skills; demonstrated ability to work well with staff at all levels; ability to work both independently and within a team environment (departmental and cross-departmental)
  • Ability to prioritize, track and implement multiple tasks simultaneously; ability to deal well with a large volume of work while maintaining high quality and efficiency/timeliness.  Exhibit comfort in working under and meeting multiple deadlines
  • Intermediate level of proficiency in Microsoft Office software, including Word, PowerPoint, Excel and Outlook
  • Must be self-motivated and self-starter
