Accounting and Tax Compliance Manager

New Harvest is a non-profit organization that accelerates responsible research and innovation (RRI) and collaboration among stakeholders in the field of cellular agriculture. We have entities in the US, Canada, and we are in the process of establishing a foundation in the Netherlands. As the nonprofit hub connecting cell-based food startups to academic research, New Harvest brings long-range vision to the space and addresses the fundamentals necessary to elevate the discipline and organize collective responsibility in this developing field. 

The Finance and Tax Compliance Manager is an integral part of the New Harvest team and will be responsible for overseeing the non-profit organization’s day-to-day financial operations as well as ensuring that we are compliant with government regulations and tax laws in the countries and regions in which we operate. 

The position reports directly to the Chief Operating Officer. The role is full-time and is fully remote. 

Areas of Responsibility: 

GENERAL RESPONSIBILITIES

1. Tax Compliance. Ensure tax and financial compliance in the regions in which New Harvest Operates (e.g. US, Canada, The Netherlands)

  • US and international tax preparation
  • Coordinate of tax financial statement and internal controls processes in accordance with GAAP accounting principals
  • Maintain and submit federal, provincial, and state documentation for registration, payroll, and compliance purposes.
  • Maintain accounting procedures and policies and systems of internal controls to ensure compliance and integrity of all financial systems.
  • Maintain a compliance calendar and recordkeeping system, to ensure audits, federal, provincial, and state audits and registrations are maintained.
  • Ensure all financial reports, including income statements, balance sheets, tax returns, audit, reports for government agencies and foundations are prepared in accordance with agency contracts, state & federal guidelines and international accounting standards
  • Assist with preparation of registration documents to guarantee legal registration at the federal, state, provincial, and local levels including maintaining our registered agent service and any required state/provincial charitable solicitation registrations.
  • Consult with tax attorneys as needed

2.  Bookkeeping and Accounting.  Manage all aspects of day-to-day bookkeeping and accounting for New Harvest’s US, Canadian, and Dutch entities.

  • Manage A/P, A/R, payroll, journal entries, and bank reconciliation
  • Prepare Journal Entries for prepaid expense, deferred revenue and payroll cash accounts
  • Process and pay all invoices in a timely manner
  • Execute payroll activities using  3rd party payroll service providers
  • Perform annual reporting processes for US, Canadian, and Dutch contractors and employees
  • Assist ED, COO, and Treasurer with annual budgeting, forecasting and financial planning
  • Prepare monthly and quarterly financial reports, including standard financial reports, budget vs. actual reports, and grant-specific financial reports.
  • Coordinate with outside auditors in preparation of year-end audits in compliance with international, federal, state/provincial and local guidelines
  • Monitor and manage balances for multiple bank accounts
  • Manage or perform ad hoc projects, such as optimizing our use of Quickbooks Online, implementing new software, customizing reports, and streamlining processes
  • Create and present monthly financial summaries and quarterly and annual budget summaries and forecasts 
  • Prepare financial reports and forecasts for the Treasurer and Board
  • Manage internal and external requests for financial data, reports, analyses, etc.

3. Fundraising and Grants Administration. Provide accounting support to our fundraising efforts and administration of grants. 

  • Manage restricted donations and gift agreements
  • Deposit and record incoming donations and cash out donated stock 
  • Work with the development manager to ensure that New Harvest gift processing (i.e. tax receipts, year-end statements) is compliant with federal regulations and regional guidelines
  • Assist in the preparation and tracking of project and grant budgets
  • Manage the disbursement and compliance of grants including reporting requirements for government, corporate and foundation grants
  • Assess and provide guidance about fundraising practices in line with regulatory requirements and develop best practice standards
  • Manage time tracking process for employees with hours billable to grants, utilizing online time tracking tool, and extract data to make appropriate payroll entries for financial and grant reporting.
Educational Background: 
Bachelor's degree in Accounting, Finance or a related field
Skills/Experience: 
  • Minimum 3 years of related experience, ideally in non-profit accounting with a focus on compliance 
  • Strong knowledge of best practices in non-profit accounting and compliance
  • Experience with tax filings in the US, Canada, and Europe  
  • Experience managing restricted donations
  • Advanced knowledge of Quickbooks
  • Intrapreneurial attitude and work ethic
  • Good group interaction and people management skills
  • Strong organizational and analytical skills
  • Ability to foster a collaborative working environment, encouraging the integration of others’ ideas
  • Demonstrated record of initiative, problem solving, and adaptability
  • Strong listening, communication, and collaboration skills

Compensation/Benefits: 

New Harvest offers health care benefits, parental leave, and unlimited PTO. Salary range for the position is $75,000 - $85,000 (USD). February start date preferred. This position is fully remote and work hours are in EST.

Additional Information: 

New Harvest is a 501c3 in the US and a registered non-profit entity in Canada.
