To support the Administration team we are offering the following position:
Junior Officer, Human Resources
The successful candidate will be a part of the international ICLEI World Secretariat team based in Bonn, Germany and will be placed within the Administration team.
The Administration team is a department within the ICLEI World Secretariat which takes care of the organizational key functions of the ICLEI e.V. and consists of 4 areas of expertise: administration, project acquisition and management, finances and human resources.
Assistance and support in all HR matters, including:
- Introduction of (new) staff members to all internal HR processes
- Act as a first internal contact point for questions regarding HR matters
- Ensuring compliance with all HR procedures within the World Secretariat
- Collecting, processing and analyzing of HR related data, including time recording and absence management (holidays, over time etc.) and required action.
- Management of time recording software
- Management of personnel files
- Ergonomics and security of the work environment
After an initial training period, mostly independent management of the on-boarding process:
- Management of job applications
- Preparation of employment contracts and related processes
- Visa and work permit processes
- Representation of the World Secretariat vis-à-vis selected authorities (e.g. Foreigners Office)
General support functions to the Administration Team:
- Support of other teams for special tasks e.g. administration inherent to conferences
- All other tasks in support of Human Resources or the Administration team if necessary
- Minimum of 1 year experience in Human Resources management, preferably in an international organization or NGO
- University degree (or equivalent) or completed apprenticeship in Human Resources, Business or Public Administration, NGO Management or related fields with a strong focus on Human Resources
- Proficiency in MS Office, email and database programs
- Excellent command of German and English
- Self-motivation, pro-active attitude, good interpersonal skills
- Good problem solving skills and solution oriented approach
- Ability to remain calm, cool and collected in stressful situations and under changing priorities
- Well organized, accurate and very attentive to details
- Take ownership of activities and responsibilities
- Assertiveness, reliability and respect of required confidentiality
- Interest in international collaboration and sustainability
The position is available from mid-October 2017 at the ICLEI World Secretariat in Bonn, Germany. The duration is planned for 2 years with possible extension. The Junior Officer, Human Resources will be supervised by the Head of Administration and Human Resources.
ICLEI is offering a salary of 25,000-28,000 EUR before tax and social insurance fees, with the final salary to be determined based on the chosen applicant’s skills and experience.
