The Grants Coordinator-Europe Region, provides highly specialized advice and coordination with country/program field Grants Specialists and staff across TNC relative to proposal submissions, and award administration and management related to grants and contracts made by select European donor agencies, in particular BMUB-IKI (German Donor), the Blue Action Fund (BAF) and the European Commission. The position works closely with the field Grant Specialists and requires specialized accounting skills, as well as expertise/knowledge of government regulations, policies and procedures relative to European grants and contracts.
This position will also be responsible for the financial and administrative management of grants and contracts issued to TNC’s European Region.
This individual must be located in Berlin, Germany, and s/he must be a native German speaker and must be fluent in English, both in spoken word and in writing. The Grants Coordinator reports to the Grants Manager for International Programs based in the U.S.
- The Grants Specialist, Europe Region provides the following highly specialized services to staff across TNC:
- The Grants Coordinator - Europe Region provides specialized coordinator services in public grants administration, including advising on reporting and financial accounting for European donors such as BMUB/IKI and BAF, etc. S/he has a high level of expertise in his/her area(s) of specialization. S/he assists the field grants specialists in administrating public awards in accordance with funder guidelines and regulations as well as TNC policies and procedures and best practices. The Grants Coordinator- Europe Region provides assistance to staff and responds to moderately complex employee/management questions and problems based on advanced accounting/financial knowledge.
- The Grants Coordinator- Europe Region is the primary point of contact and is directly responsible for the overall financial and administrative coordination for European grants/contracts executed in the international country programs that are managed by the field Grant Specialists, including review of proposals and budgets, invoices and financial reports to agencies, and maintenance of master agreement files. S/he works closely with field grants specialists and project managers to ensure that the terms and conditions of agreements are met and properly documented, and communicates directly with the funding agency contracting officers to clarify or negotiate financial and administrative requirements.
- The Grants Coordinator – Europe Region is the primary contact and is directly responsible for the proposal review and administration and all aspects of awards issued to the European Region, to include review of proposal and budgets, award set up in the central finance system, preparation and submission of invoices and financial reports to agencies, and maintenance of master agreement files.
- The Grants Coordinator - Europe Region is also directly responsible for the administrative aspects of grants privately funded by TNC to grantee organizations in Europe, including assistance with due diligence activities, preparation and revision of agreements, review of invoices and financial reports, approval of payments, and maintenance of grant files.
- Advises global TNC staff on European donor agency requirements to ensure compliance with requirements relative to grants and contracts proposal submissions to European donor agencies as well as requirements relative to award administration and financial management of European donor agency grants, and in accordance with TNC policies and procedures and best practices in financial/organizational management.
- Provides assistance to all levels of personnel relative to European donor agency grants and contracts and responds to complex questions and problems based on advanced knowledge of accounting/financial.
- Provides a solution-oriented approach to grants and contracts related issues (proposals and ongoing projects) to ensure adequate cultivation of European donors through direct interaction with government and multilateral agencies as necessary.
- Exercises quality control in grants proposal and report submissions and all materials/communications to donor agencies to ensure consistency and uniformity in meeting donor requirements.
- Provides training to field staff as needed on topics such as grants life cycle and award administration of grants and contracts funded by European donor agencies.
- Familiarity with project planning frameworks of German and European Donors.
In coordination with TNC field staff:
- Understands, interprets and coordinates adequate fulfilment of European grants and contracts conditions.
- Prepares and submits all financial reports and requests for payment for European awards.
- Coordinates with field grants specialists, Program Managers, Relationship Manager, and other staff on administering subawards and contracts.
- Reinforces consistency across the organization per funder requirements, and provides support related to relevant tasks such as proposal development, reporting and overall communications.
- Ensures programmatic commitments, TNC policies and procedures, financial standards and legal and donor requirements are met and managed for compliance
- Coordinates multiple projects with several variables, set realistic deadlines, and manage – timelines effectively.
- Tracks progress on tasks and does follow-up as needed.
- Technical experience with grants award accounting issues.
- Experience and direct responsibility of managing accounting and financial reporting systems.
- Experience with German donor agency (government or institution) grants requirements related to the full grants life cycle: proposal development, administration, management and reporting.
- Experience with the contractual conditions that govern the grants and contracts from European donors
- German native speaker and high fluency in English language. Excellent verbal and written communication skills.
DESIRED QUALIFICATIONS
- Multi-language and/or multicultural experience appreciated.
- Prior experience in Non-profit.
- Ability to engage professionally with a wide variety of staff including staff and international programs from different cultures with different communication styles.
- Experience working with European public donor agencies and with field staff to prepare and present project proposals and negotiate with Government/multilateral agencies to achieve conservation goals.
- Strong organizational skills
- Experience working with BMU/IKI (German Donor) and KfW/BAF or other German and European Commission related grants life cycle highly desirable.
- Experience with German donor agency grants requirements and working with internal clients to obtain necessary information to meet those requirements.
- Experience as a member or leader of a multidisciplinary work team
- Diplomacy in communication; tactful in working with representatives of donor agencies, other staff and partners.
