Save the Children’s U.S. Programs and Advocacy (USPA) division partners with low-income rural communities across the country. Through early childhood home visiting, after school programs, summer camps, kindergarten readiness activities, and community/family engagement we seek to give children living in these underserved areas a healthy start, the best possible opportunity to learn and protection from harm.

USPA is seeking a full-time, highly-motivated Senior Coordinator for U.S. Field and Program Support. This position is based in the Berea, KY field office and will report to the Senior Director for U.S. Field Operations. This is an excellent opportunity for someone interested in furthering their skills in administrative support and looking to gain exposure to all aspects of nonprofit development and government relations. Although based in KY this role will virtually (and occasionally physically) support programs/staff across Save the Children’s U.S. Programmatic footprint. The successful applicant will gain experience with program design and implementation, communications, fundraising, advocacy, logistics support, procurement, data tracking, team building, and more.

Areas of Responsibility: 

Support State Leads and field team with operations and logistics 40%

  • Develop tools and procedures to support state teams and field offices with tracking and compliance around agency policies and protocols including but not limited to:
    • Receiving, storing, inventorying, tracking, and reporting on Gift in Kind donations
    • Collecting child safety agreements from partner schools
    • Travel procedures
    • Fleet management
    • Day to day procurement needs
  • Manage/update content on U.S. State Teams portal home page
  • Coordinate the collection and aggregation of data, success stories, and other materials to support the communications team with the development of marketing materials
  • Manage large scale purchases ensuring that procurement procedures/policies are adhered to
  • Liaise with state teams and appropriate agency division to set up and troubleshoot vendor relationships (Internet, phone, water, etc…)
  • Assist state and national teams with large meeting/training preparation

Support VIP Visits, Donor Relations, and Donor Reporting 20%

  • Coordinate with Resource Development, state teams, and partners to handle logistics related to VIP visits/events including:
    • Keeping a master tracker of visits for the year and coordinate with the Senior Director for Field operations and RD around the selection of upcoming locations
    • Development of the field guide and itinerary for each visit
    • Working with RD to ensure all background checks and child safety policies are in place
    • Ensure all necessary food, hotel, airfare, and car rental reservations are in place
    • Coordinating with any media or security teams related to the visit
  • Coordinate the collection of success stories, data, and other information to support resource development and state directors with donor relations and grant reporting

Support the Senior Director for U.S. Field Operations 10%

  • Support the scheduling, agenda development, and note taking/action items for the State leads meeting and other meetings as necessary
  • Assist with presentation development and document review/editing
  • Assist with meeting preparation
  • Assist with occasional travel arrangements and expense reports for Senior Director and other guests STC travelers
  • Support with special projects

Support National Program Teams with field-facing data and reporting 30%

  • Assist with programmatic data collection, compilation and reporting from partner sites
  • Lead results letter development process for School Age, Early Steps, and Summer data
  • Create mid-year and end of year literacy program awards
  • Manage/update content on the partner and internal portals
  • Support large scale materials ordering and tracking including programs supplies, program manual purchases, and other educational and training materials
  • Support team meetings, as needed
Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • You have a minimum 3-4 years' experience in area of expertise
  • Strong technology skills (e.g. Word, Excel, Outlook, Power Point)
  • Exceptional interpersonal skills
  • Excellent verbal and written communication skills
  • Highly organized and detail oriented
  • Ability to work productively and proactively, both independently and within a cross-functional team environment
  • Positive and enthusiastic attitude
  • Flexibility in approach and willingness to adapt when necessary
  • Passion and commitment to Save the Children's mission and values
  • Ability to travel up to 10% in region and nationally

Preferred Qualifications

  • Bachelor’s degree in communications, education, child development, social work or other related field
