Our Austin Office has an excellent opportunity for a Senior Data Quality Associate supporting the Mid-Market Development team, with additional affiliate-wide fiscal reporting responsibilities. This position will work alongside five other Mid-Market support staff members and will be responsible for completing and overseeing all Accounts Receivable and Accounts Payable processes, actively maintaining and promoting a high standard of accuracy in all fiscal and event data systems through regular quality checks and trainings, and partnering with fellow Customer Strategies team members and affiliate leadership to produce accurate, useful reports. This position serves a critical role in achieving the American Heart Association’s annual fundraising goals.

The Development team you will be supporting is responsible for fundraising and implementing a local Heart Walk, Go Red for Women luncheon, Heart Ball, Workplace Health symposium, and other educational events in multiple communities throughout Texas and Colorado. In addition to maximizing the quality of our financial and event data, this position will attend 6-10 events per year to assist with training new staff and executing event logistics. May also assist the team in routine data entry. Position interfaces with both staff and external donors, sponsors, and vendors regularly, so a customer-service mindset is a must.

Key responsibilities include financial processing and donor transactions, data quality checks and analysis, fiscal reporting, training development, team mentorship, and event logistical and database support.

Travel will be required up to 10 times per year for 2- to 3-day stints to locations around Texas and Colorado, particularly in the months of February-May and September-November, to assist with fundraising events. Overtime may be required during busy times of year or to complete critical projects on deadline.

Areas of Responsibility: 
  • Process donor contracts, checks, cash, and credit card payments in alignment with required timetables and A/R policies.
  • Oversee team’s processing of vendor invoices and contracts, maintaining knowledge of all Accounts Payable policies and procedures, training team where needed, and ensuring vendor payments are being processed quickly and accurately. Responsible for processing payments or coordinating additional support when staff are unavailable or behind schedule on payments.
  • Perform measurable quality-checks on fiscal and event data at regular intervals with status updates to manager. Correct errors and actively implement measures to prevent future inaccuracies.
  • Oversee collection of unpaid sponsor and donor pledges by monitoring payment status, coordinating donor outreach with team, and communicating regularly with local Development staff and sponsors.
  • Proactively develop documentation and present trainings to improve Development’s adherence to A/R and A/P policies, communication with donors, and timely processing of all revenue and expenses.
  • Serve as department expert for our fiscal analytics tool Halo.
  • Compile scheduled and ad hoc fiscal reporting for the SouthWest Affiliate Senior Leadership Team. Partner with leadership to improve existing reports and implement additional reporting.
  • Attend 6-10 events per year to assist with training new staff and executing event logistics, including but not limited to guest registration, silent auction logistics, guest transactions (donations, purchases), and volunteer coordination.
  • Help mentor new staff.
Educational Background: 
High school diploma or GED equivalent
Skills/Experience: 
  • Intermediate to advanced skills in Microsoft Office. Will be tested.
  • Must be able to travel 6-10 times per year, up to three nights per trip. (Schedule provided in advance; expenses covered.)
  • Experience monitoring data quality and improving business procedures.
  • Willingness to actively mentor and train others.
  • Must be able to occasionally lift 50 lbs.
  • (Preferred) Minimum 2 years’ experience with accounting, bookkeeping, or finance
  • (Preferred) Minimum 1-3 years’ experience managing multiple projects, large amounts of data, and consistently providing exceptional customer service while meeting tight deadlines.
  • (Preferred) Intermediate skills in Excel preferred. Will be tested.
  • (Preferred) Experience with data analytics, data visualization tools, and nonprofit CRM software.
  • Attention to detail in all tasks, including but not limited to completeness and accuracy of data entry, correct spelling and grammar in all communications, and ability to follow detailed directions.
  • Able to provide excellent customer service while ensuring compliance with the American Heart Association’s policies and procedures.
  • Able to communicate with emotional intelligence and empathy, build relationships, gain trust, and effectively work with Development directors, sponsors, donors, volunteers, and AHA staff partners.
  • Effective project management including: work on multiple projects simultaneously following a set/recommended timeline; managing project details with limited supervision.
  • Ability to work in a team environment (e.g., effective interpersonal and customer relations skills.
  • Able to proactively and effectively communicate with diverse audiences across Texas.
  • Office administration skills, including general clerical skills (e.g., basic computer knowledge, email etiquette, email organization, filing, typing, copying, telephone etiquette and office operations.
  • Bilingual preferred.
