The American Heart Association (AHA) has an excellent opportunity for a Senior Director of Business Operations that will be based in Atlanta, GA preferably. The primary focus for this position is to provide support of the GSA with asset acquisition, management and disposition; oversee facilities management of hub offices (17); create, monitor and update business operations budget; manage property insurance and risk management oversight; select vendors needed for facilities management; negotiate and manage business operations contracts, supervise Facilities Specialist; provide guidance and support to hub office Business Operations Specialists (office managers); identify, implement and manage environmentally friendly and safety conscious workplace strategies.

Areas of Responsibility: 
  • Effectively manages facilities for 17 offices within the GSA. Oversees the training and support needs of GSA’s 17 office managers (OMS) and regularly communicates with this OM team.
  • Monitors building operations; sets associated expense and capital budget for affiliate, as well as preparing in-depth financial analyses, such as cost benefit and ROI analyses, etc. Actively identifies more efficient means to manage operations.
  • Actively supervise, coach and mentor GSA Facilities Specialist (facilities invoice payment associate). Assign and supervise projects.
  • Manages GSA facilities’ fixed asset acquisitions and dispositions.
  • Manages postal services, shipping, etc. needs for the field offices and other business operations vendor relationships and related budgets.
  • Assumes lead in the management, contract negotiation and selection of facilities vendor contracts (i.e. lawn maintenance, janitorial service and trash removal). Works with AHA legal to submit all facilities contracts for review and approval.
  • Manages property insurance (assumes the liaison role with national center) and risk management for GSA (i.e., assumes lead on updating Business Continuity Plan). Manages the annual evacuation drills and shredding/archive days for the 17 offices.
  • Point person for tracking and notifying offices of emergency weather situations affecting local staff (i.e., per Emergency Disaster Plan). If buildings are affected by disasters, this incumbent is the point person for facilities recovery plan.
  • Assumes lead to update the Business Operations Sharepoint site.
  • Coordinates and supports all office moves/relocations.
  • Coordinates and supports the standardization of all office equipment as prescribed by National Center directives.
  • Assumes GSA lead role with AHA Facilities and Real Estate Advisory Team (“FRAT”). Also responsible for entering data into the AHA Facilities Sharepoint system.
  • Timely researches and resolves office related problems.
  • Other duties as assigned/requested.
Educational Background: 
4-year degree preferred
Skills/Experience: 
  • Experience with general business and accounting procedures.
  • Experience with vendors, vendor relationships and property management.
  • Experience with facilities disaster recovery operations.
  • Experience with facilities safety and building security procedures and related loss prevention.
  • Experience with commercial real estate transactions.
  • Periodic day and overnight travel required. Amount will vary depending on the projects at hand.

  • The incumbent must demonstrate excellent skills in oral and written communication, planning, consultation, public relations and administration. Must be resourceful and capable of working independently.
  • Must provide customer service support over internet communication (i.e. Skype, webcam, instant messaging), email and telephone.
  • Incumbent must have strong planning, scheduling, analytical and problem-solving skills, and the ability to analyze numbers and interpret data.
  • Incumbent must possess strong working knowledge of computer software including but not limited to Microsoft Office Products and Sharepoint.

Environmental and Working Conditions:

  • Normal Internal office environment.
  • This position requires the ability to travel within the GSA’s territory to assess field activities/field office operations and coordinate office moves.
  • Such travel will often involve overnight stays.
  • Some evening and weekend work could be required at times.
