Program Coordinator, Global Capacity Development

This position will provide grant management and programmatic support to all activities related to the American Cancer Society’s Global Capacity Development and Patient Support program. This program has two primary portfolios of work. The capacity development portfolio is intended to strengthen the civil society response to cancer in ACS Global’s focus countries around the globe (typically, low-and middle-income countries) through organizational strengthening initiatives. Building on ACS’ domestic strengths and qualifications, the global patient support portfolio is focused on developing responsive and innovative access to care initiatives (e.g., patient navigation, accommodation, transportation, and education, and patient navigation) that promote treatment completion and improve the quality of life of patients and caregivers in ACS Global’s focus countries.

The two portfolios of work are still in the process of being designed and developed, and in some cases, are fully into implementation. The Program Coordinator will provide input and support for all the work on the team, working under the direction of the two program managers who lead each portfolio, and the managing director.

Areas of Responsibility: 
  • Grants/Contracts Management (60%): This position will coordinate the grants and contracts process across the team from the point of submission into ACS systems through reporting. S/he will work closely with a cross-functional, high-level team of staff and external partners (both in ACS and in Africa) with the aim of facilitating strong, efficient operational practices and contractual relationships with our implementing partners—as well as contributing to building the capacity of our grantees in the area of grants management.
  • Communications, Information Management, Event Planning (30%): This position will serve as the lead for the team’s communication outreach efforts: s/he will liaise with the rest of the ACS Global department and the ACS communications department to develop, update, and maintain website content, hard copy promotional materials, fact sheets, presentations, Twitter and Facebook postings, and photo management.
  • This position will also lead the team’s efforts around organization and utilization of the ACS’ information management systems and will occasionally take the lead on organizing logistics around international events (e.g., conferences, meetings, and trainings and workshops) and/or team conference calls.
  • Programming (10%): Depending on availability, interest, and skill set, the program coordinator may support the program managers and specialists in aspects of program design and management.

MAJOR RESPONSIBILITIES

Grants/Contracts Management:

  •  In collaboration with Program Managers and Director, takes the lead in ensuring that the Global Capacity Development and Patient Support (GCDPS) team implements business processes to meet key contractual and grant requirements (both internal and external), for all grants, services agreements, and any related amendments.
  • Provides status reports on grants activity and trends as well as regular updates on the status of consultant/vendor agreements, grant disbursements, payments, reporting deadlines, timetables, etc. to Managing Director and Program Managers.
  • Provides business support to Program Managers in processing grants and contracts once agreements have been finalized.
  • Serves as lead point of contact between GCDPS grantees and internal ACS operations, finance, and legal partners. Collaborates and proactively communicates with all internal partners to ensure timely grant reviews, disbursements, and follow up with grantees.
  • In close collaboration with Program Managers, requests, reviews, and approves grant reports and submits to ACS Contracts staff for record keeping.
  • Communications, Information Management, Event Planning:
  • Supports the development and revision process of communications materials related to the team strategy and coordinates input from partners in country
  • Works with department’s senior administrative assistant to plan and coordinate team-related meetings and events with partners, including travel to focus countries when needed.
  • Programming:
  • Supports program staff on discrete tasks as needed and available 
  • Assists (and in some instances, takes the lead) in the creation/revision/adaptation of departmental and team tools and resources materials
  • Cross-cutting:
  • Uses judgment and organizational skills to manage day-to-day operational issues to ensure the efficient functioning of team projects, activities, and deliverables.
  • Supports program staff in scheduling meetings and conference calls for the team and/or taking notes regarding program work.
  • Performs miscellaneous job-related duties as assigned.
Educational Background: 
Bachelor’s Degree in International Development, Public Health/Global Health, or related field.
Skills/Experience: 
  • Understanding of and experience in the global health environment is a plus.
  • Demonstrated awareness and understanding of working with other cultures. Experience living or working abroad a plus.

  • Excellent interpersonal and networking skills to work effectively in a large, formal organization with multiple stakeholders.
  • Must be flexible and able to coordinate multiple tasks and projects simultaneously, generally under time pressures. Ability to adjust and adapt to changing circumstances.
  • Knowledge of/experience and interest in managing international vendor contracting and international grants reporting procedures.
  • Ability to coordinate and organize meetings and/or special events.

SPECIAL MENTAL OR PHYSICAL DEMANDS:

This position may involve travel to resource-limited settings from time to time (10% or less).

  • Ability to travel internationally on occasion and maintain a nontraditional work schedule including work and/or travel on some evenings and weekends.
  • Ability to take mandatory vaccinations required for international travel (e.g., yellow fever vaccination, malaria prophylaxis, etc.)
  • Flexibility in adjusting to living conditions during travel to low-resource settings, which may include limited access to air conditioning and/or hot water, interruptions in electricity supply, etc.

SPECIALIZED TRAINING, EXPERIENCE, OR KNOWLEDGE:

  • Experience in grants/contracts management is a plus.
  • Proficiency in a foreign language (especially French, Spanish, or Portuguese) is a plus. Other language skills welcome
