Habitat for Humanity International (HFHI) is currently seeking an experienced professional to join our Long-Term Volunteer Programs team as the Operational Support Manager. Reporting to the Director of Long-Term Volunteer Programs, the Operational Support Manager will support annual planning, prioritization and monitoring; financial and grant compliance and general project management. Additionally, this position will provide management on a variety of projects instrumental to the success of volunteer engagement, including current programs. Located in our Administrative Headquarters in Atlanta, Georgia, this position will work closely with managers, members of the Long-term Volunteer programs team and other stakeholders within the organization to lead all areas of major department and/or division wide projects. 

Areas of Responsibility: 

PROJECT MANAGEMENT 

  • Coordinate internal resources and vendors for the flawless execution of projects
  • Ensure that all projects are delivered on-time, within scope and within budget.
  • Developing project scopes and objectives, involving all relevant stakeholders and ensuring feasibility
  • Ensure resource availability and allocation
  • Develop a detailed project plan to track progress
  • Use appropriate verification techniques to manage changes in project scope, schedule and costs 
  • Develop and measure project performance using appropriate systems, tools and techniques
  • Report and escalate to management as needed
  • Manage the relationship with the client and all stakeholders, as well as third parties/vendors
  • Perform risk management to minimize project risks
  • Create and maintain comprehensive project documentation.

DEPARTMENT SUPPORT & DEVELOPMENT

  • Provide support to the overall department through full participation and engagement as part of the Long-term Volunteer Programs management team
  • Annual Planning and Prioritization

DEPARTMENT PLANNING, PRIORITIZATION AND MONITORING

  • Manage Annual Department Planning Process and Development of Annual Operating Plan
  • Establishes and Manages regular (monthly, quarterly, etc) review and update of operating plan and departmental budget
  • Support financial planning and forecasting

GRANTS COMPLIANCE AND FINANCE

  • Serve as liaison with Grants Compliance and Donor Reporting & Finance 
  • Budget Reporting & Reconciliation
  • Manage Departmental preparation for and response to internal / external audits, desk reviews, and site / monitoring visits 
  • Stay current with federal grant regulations and guidance
  • Ensure grant, funding, and legal compliance
  • Coach, mentor and train department staff on AmeriCorps compliance requirements and updates
Educational Background: 
Bachelors degree or Equivalent experience in Project Administration, Project Management or Program Management
Skills/Experience: 
  • 5-7 years related experience with demonstrated success in Project Administrator or Project Management
  • Proven working experience as a Project Administrator
  • Excellent client-facing and internal communication skills
  • Excellent written and verbal communication skills
  • Strong working knowledge of Microsoft Office
  • Superior analytical and organizational skills with excellent attention to detail 
  • Experience in virtual communication
  • Experience in change management execution
  • Solid technical background, with understanding or hands-on experience in software development and web technologies
  • Prior commitment to community service and/or non-profits
  • PMP certification
  • Managing virtual teams
  • Knowledge of Lean Manufacturing and Net Promoter System
  • Advanced Degree
  • Certification in Volunteer Administration
