The Director of Shared Services is responsible for providing a coordinated corporate support function to the organization and their staff, for administrative transactional processes including financial support for Accounts Payable and Accounts Receivables as well as Customer Service for external constituent support.  The Director of Shared Services ensure delivery of functions in a cost-effective manner, promoting operational efficiencies and service improvements.

Areas of Responsibility: 

Accounts Payable Administration

  • Ensure the accuracy and completion for all aspects of the Accounts Payable Process for the March of Dimes. 
  • Monitor the performance against the Service Level Agreements on the entire AP function, including but not limited to; Concur Processing, Manual Checks, Wire Payments, ACH payments and more. 
  • Provides feedback to the FP&A Sr. Director for spend analytics on a monthly basis

Accounts Receivable Administration

  • Coordinates with the Accounts Receivable Manager to ensure the department properly counts, deposits and allocates donations, revenue and other deposits to the organization using Generally Accepted Accounting Principles and other industry and organizational standards.
  • Ensures proper business continuity, performance management and cash handling controls are followed.
  • Documents and modifies as necessary business process guidelines to ensure efficient processing of receivables and ensures stellar customer service to internal and external constituents as necessary through phone calls, emails and Service Desk meeting all departmental SLA’s. 

Customer Service Administration

  • Provides management and oversight of Customer Service Manager ensuring constituents, donors and in-bound callers to the organization are triaged and serviced in an efficient, professional and donor-centric manner consistent with Service Level Agreements and expectations.
  • Ensures other organizational departments who have Service Desk tickets assigned from Customer Service are able to properly address, service and close the tickets in a timely manner while providing reporting to ELC and department leadership regarding performance levels.
  • Establishes and maintains close working relationships with functional Divisions/Offices throughout the organization, liaising on constituent issues and escalating issues.
  • Coordinates with external and internal groups to ensure all donors and donations are acknowledged in an efficient and cost effective manner and reporting acknowledgements in a daily, weekly and monthly format.

Finance Operations Administration

  • Provide support and oversight to the Financial Operations Team.
  • Ensure business continuity for internal and external corporate relationship pertaining to invoices and coding in Concur
  • Ensure Service Level Agreements are met with internal and external customers and vendors providing timely service and first class assistance with questions regarding centralized vendors and charge backs including employee reimbursements.

Other Duties as assigned:

  • Analysis of all department metrics, reporting outcomes to the VP Special Projects
  • Assist in the external audit managing deliverables and assisting in any audit responses
  • Support various field accounting duties including purchasing, compliance, journal entries and reconciliations.
Educational Background: 
Four year college degree; Accounting or Finance degree required
Skills/Experience: 
  • 5-10 years experience
  • Extensive knowledge of accounting principles with focus on Not for Profit accounting application.
  • Statutory requirements of Not for profit governing bodies.
  • Hands on as well as the ability to instruct other professionals on use of Accounting and related computer systems.
  • Strong communicator with collaborative management style and a strong customer service orientation.
