The American Heart Association has an excellent opportunity for an Administrative Coordinator in our Atlanta, GA office to provide administrative support to our Youth Market program and program directors.

The Youth Market Coordinator will provide outstanding customer service support to both internal and external customers; assist with planning, data entry, follow-up, on-line implementation/support, printing, reports and orders.

Areas of Responsibility: 
  • Responsible for the overall administrative support that includes printing, fulfillment orders, reports, material mailings, data entry, thank you gift ordering and general mailings. Provide overall database coordination for pre and post event material orders.
  • Provides technical assistance to internal and external customers, including Microsoft Dynamics CRM, Luminate and other online systems.
  • Manage customer information within Microsoft Dynamics CRM, Luminate and other applicable databases in accordance with established Youth Market guidelines and best practices.
  • Coordinate recruitment and material mailings, thank you gift ordering / recording / shipping / handling, and inventory management, troubleshooting, follow-up, and status updates.
  • Provide effective support services. Maintains files, records, reports and office supplies. Provides outstanding customer service to the Youth Market Directors and school volunteers in the field to achieve maximum revenue results. Fill same day material orders for Youth Market field staff and volunteer requests.
  • Serve as communication liaison between Youth Market field staff and Customer Service Manager to help troubleshoot Youth Market procedures and protocols. Provide feedback to innovate and improve current business procedures.
  • Assist staff with ordering thank you gifts for various schools and/or assisting with the money counting/processing for various schools.
  • Assist Customer Service Manager & VPs with other tasks as assigned.
Educational Background: 
High School Diploma or Equivalent.
Skills/Experience: 
  • 2-4 years of experience providing administrative support to multiple managers
  • Proficiency with Microsoft Office Applications: Excel, Word, PowerPoint, Outlook
  • Ability to prioritize and manage multiple projects
  • Ability to be flexible and adapt to change
  • Experience with Microsoft Dynamics CRM and Luminate, or other CRM software preferred#LI-AS1
