The Switchboard Operator/Stock Coordinator welcomes visitors by greeting them in person or on the telephone and routes them to the proper source. They should be able to greet visitors professionally and personally and ensure MOD staff have badges and assist guests in obtaining a badge by following security procedures and protocol. The Switchboard Operator/Stock Coordinator should maintain a safe and clean reception area as well as ensuring all commons areas are clean and kept throughout the day. Additionally they should ensure the conference rooms are appropriately stocked with on-site needs for meetings.
Additional responsibilities include sorting and distributing mail, assisting in a variety of administrative tasks including copying, faxing, taking notes and assisting with travel plans. The Switchboard Operator/Stock Coordinator will assist the Executive Administrator with other duties as needed while providing exceptional customer service to all interactions. This position is part of the National Office Enterprise Support department.
- Provide Switchboard Operator for National Office telephone communication system.
- Assist Executive Administrative staff as needed for tasks such as travel, lodging and meeting coordination.
- Perform administrative duties as needed.
- Ensure Front Desk and all common areas including conference rooms are clean and free from debris daily or more as needed.
- Welcome and greet visitors and ensure all visitors are assigned a badge as determined by security policy.
- Sort and distribute mail as needed
- Competency in Microsoft Office including Word, Excel and Outlook required
- Prior experience as a receptionist
- Consistent, professional dress and manner
- 1 to 3 years related experience required.
- Reliability and able to contribute a positive attitude to a team environment
