The Gift Planning Trustee Engagement Coordinator works to coordinate all aspects of the Trustee Legacy Ambassador (TLA) program and serves as a liaison to the Gift Planning Committee (GPC) and/or the Trustee Legacy Ambassador Co-chairs. The Trustee Engagement Coordinator helps to ensure the TLA Program is activated and tracked in all chapters/programs (where possible) and supports chapter/program and gift planning partners in their efforts to engage TLAs and Trustees in gift planning. The Coordinator will support the Associate Director, Gift Planning Trustee Engagement, in the strategies, activities and communications for TLAs and Trustees. The Coordinator will ensure that processes are implemented across tactics and activities in support of advancing Gift Planning goals. The Coordinator will provide administrative and program support to Gift Planners by handling inquiries, producing gift calculations, drafting donor correspondence and accurately recording planned gifts for trustees and for other donors as needed.
Trustee Legacy Ambassadors (TLAs) are volunteers who encourage and promote Legacy Club and gift planning involvement both at the Trustee level and with key donor constituencies. The Gift Planning Trustee Engagement Coordinator works towards meeting the strategic priorities of the Trustee Legacy Ambassador Program by coordinating efforts and tasks within the plans and tactics of the Program, and by coordinating day-to-day tasks, including reporting, communications and responding to requests from volunteer leadership, field partners and gift planning staff.
The Gift Planning Trustee Engagement Coordinator works to support the TLA network (approx. 50 Trustees) and the staff that work with the TLAs. The Coordinator handles regular program-related communications, produces data and tracking reports, and helps develop the resources, tools and materials in support of the goals of the TLA Program, TLAs and their staff partners. The Coordinator will help implement semi-annual TLA Network calls and will support Gift Planning engagement of Trustees/Trustee Legacy Ambassadors at annual Volunteer Leadership gatherings.
The Coordinator will assist in Board screening/research efforts, data reporting, the sharing of best practices and recommendations, gift processing and acknowledgements, onboarding of TLAs, and the development of tools and materials according to programmatic needs. The Coordinator supports the Associate Director, Gift Planning Trustee Engagement in meeting management, communications, analysis, and projects/activities in support of the volunteer leadership for the TLA Network. The Coordinator will help to analyze program information to achieve results, improve workflow, and solve problems. Duties may be confidential and require comprehensive knowledge of TNC’s policies, procedures and operations.
The Coordinator will also provide administrative support as needed for gift inquiries and gift processing using the available fundraising management system and established processes and procedures. Duties may include drafting correspondence and acknowledgements, assisting in timely asset transfer, performing financial calculations, and processing and recording planned gifts (bequests, charitable gift annuities, deferred gift annuities, flexible deferred gift annuities, pooled income funds, charitable remainder trusts and gifts of real estate).
RESPONSIBILITIES AND SCOPE

- Does not supervise any staff, but may supervise interns, volunteers, and/or temporary staff.
- Ensure compliance with TNC policies and procedures, and external (donor/legal/IRS) requirements.
- Financial responsibility includes working within a budget, processing invoices and transfers, and contracting with vendors.
- Provide centralized support to chapters or programs, will work with a minimum of three chapters or programs.
- Provide input through project teams for the improvement of existing programs.
- Refer difficult questions and unusual problems to supervisor.
- Travel and work flexible hours.
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
