Position Title: Project Assistant
PURPOSE OF POSITION:
Under the supervision of Porgramme manager, the project assistant provides operational and administrative assistance to the project manager and project staff, performs a variety of administrative, coordination, monitoring and logistical services in support of the operations of the Program, and assists with information management the team.
The project Assistant will oversee and ensure the proper implementation of the project activities and work towards ensuring the program is of a high technical quality, monitoring processes are in place, that timely reporting occurs, and that the program is continually assessed and solutions quickly put in place for a change of context.
Major Responsibilities:
Objective 1: Supervise the Project Planning and implementation
Support the program implementation team with carefully developed and updated Plans, assist Education programme manager in updating work plans and other program documents
Provide programming and administrative support to the programme manager and all project staff and partners.
Follow project budget management and updates on matching project implementation with Budget expenses
Assist in project and resources management including logistics, overseeing contractual procedures and compliance, tracking project expenditure.
Liaise with the project partners to arrange for various matters related to program implementation.
Draft agreements with partner institutions and external consultants
Arrange all program appointments and maintain program and projects background information, calendar, log, routine correspondence and facilitate follow-up action and deadlines.
Translate project materials when deemed necessary. Keep meeting notes when requested
Perform other related tasks/ assignments as assigned by the supervisor.
Objective 2: Monitor, Evaluate and Report on Project results
Oversee performance of partner and activity implementation.
Maintain project records, as well as financial records and monitoring system records: Electronically and hard copies on files / folders
Liaise with MEAL team to monitor the implementation of activities to ensure they are completed according to plan and in a timely and effective manner, giving particular attention to quality aspects.
Assist with the preparation of status and progress reports by working with MEAL and providing information such as financial and other inputs when required.
Maintain and update databases and records on programming activities for the programme monitoring and evaluation purposes.
Documenting in a timely manner, all progress challenges, and learning for future implementation.

Build and maintain effective relationships with the team, colleagues, and partners.

Support field staff in the timely implementation of activities at the field level.
Support implementing partners when necessary with provision of required program documentation from WV team, setting up meetings with WV team and other support
Education:
Bachelor degree in Education, , Sociology or related field
Experience:
Experience in the field of humanitarian assistance. Relevant experience of at least 1 years with national or international NGO
Knowledge & Skills:
Familiar with core principles of Children’s Rights, Child Protection, Participation, and ‘Do No Harm.’
Knowledge of and adherence to the Child Protection, Red Cross and NGO Code of Conduct
Working knowledge of the logical framework approach.
Excellent planning skills
Excellent English and Arabic communication skills (both oral and written)
Motivated to work in humanitarian field and grow professionally, eager and quick to learn
Experience working on projects funded by international donors
