To maintain accurate commodity accounting records of all commodity movement including receipts, loans, inter warehouse transfers, dispatches, distributions and losses. Manage all the tracking procedures in Project to ensure all transactions are accounted for in compliance with support office and major donor requirements.
Areas of Responsibility:
Tracking
- Responsible to update and maintain data and produce reports using the WV CTS system. Must be able to fully utilize a computerized system to develop different data bases as required by the manager.
- Collect, compile and analyze all the receipts and dispatches from all sites, loss reports, physical inventory, inspection report and distribution center visit reports.
- Collect, review the GRNs and provide a summary for the goods supplied by WV suppliers to Procurement.
- Maintain a clear and complete paper trail for all the food and non-food commodity transactions at WV Sites
- Responsible to maintain core commodity records and files including shipment files, shipment register, loss claims file and loss claims register.
- Keep track of WV Food and NFI handled on monthly basis.
- Work closely with Field Coordinator, Field Monitors, Kitchen Team to prepare GRNs and Procurement summary to be submitted to Procurement Department. Keep records of cumulative value of commodities handled by WV monthly.
Reporting
- Review all Reports from distribution sites, including warehouse, and distribution centers.
- Ensure that the Field Commodity Reports are accurate and reliable for completion of the monthly global Commodity Status Reports; including the main CSR, LSR and RSR.
- Submit Reports to WFP on daily basis for the Project activities.
- Maintain a clear accounting and documentation process for each shipment and maintain the shipment files.
Record Keeping
- Collect, compile and analyze all the receipts and dispatches from all sites, loss reports, physical inventory, inspection report and distribution center visit reports.
Planning
- Ensure proper planning of the Food distribution and ensure that all the required documents for planning are signed timely by the Project Manager/ Commodity Officer. Also prepare the Commodity Dispatch Authorization (CDA) based on the plan and submit the filled CDA to warehouse to ensure timely dispatches for distribution.
Educational Background:
Education level should be a minimum of bachelor’s degree.
College Diploma or strong financial accounting background can also be considered.
Skills/Experience:
- At least 1 years of previous experience in Food Programming.
- Self-starter, who can accomplish the tasks with little or no supervision. He/she must be diligent in paperwork, have integrity.
- Good understanding of World Vision and Sphere relief standards.
- Excellent English communication skills.
- Dedicated to the humanitarian cause
- Good command of oral and written English.
- Must have a very good analytical skills
- Ability to work in and contribute to a team building environment.
- Experience in community mobilization, commodity programming and management in logistics.
