This position performs all duties as required for the smooth operation of an office and other duties including greeting visitors, answering the telephone, taking and distributing messages, picking up and distributing mail, typing, knowledge of Microsoft Office applications, faxing, and other clerical duties.
As a Save the Children employee who will come into contact with children on a routine basis, you are expected to prevent child abuse in every situation by striving, through mental awareness, good practice and training to minimize risk to children. You must take positive steps to protect children who may be a subject of concern and report and respond to any instance of child abuse and promote training and awareness around all child safeguarding obligations
- Provides good customer service to all Head Star staff, families, and vendors
- Assists staff as and when needed
- Serves as the front line of representation for the Head Start Center
Responsibilities and Impact
- Answers telephones in a courteous, helpful manner at all times and take messages or forwards calls as appropriate
- Greets public and visitors, notifying individuals of visitors presenting for meetings and interviews.
- Opens and distributes incoming mail to appropriate individuals, prepares outgoing
- Responsible for sending and receiving faxes, distributing and/or notifying individuals of faxes in a prompt manner.
- Follows procedures for general office systems, such as office building security, telephone answering and messaging, faxing, etc.
- Supports other staff in preparation, reproduction, distribution, and recording of meeting agendas, minutes, reports and other information
- Perform other related duties as assigned.
- This is an entry level position requiring no previous education or experience.
- Working knowledge of Microsoft Office applications, typing of at least 40 wp
- Must have ability to manage numerous tasks, possess good organizational skills, communicate effectively with co-workers and the public; work collaboratively in a team environment and independently.
- Ability to lift up to 20 pounds.
- Ability to clear criminal records check (including child abuse registry check if required by state regulations) and pass all state and local health requirements required post job offer and prior to employment. To drive agency vehicles (if applicable), must have a valid driver’s license and be insurable by the Save the Children Head Start insurance carrier and have a Motor Vehicle Record acceptable to Save the Children Head Start. Current and former Head Start/Early Head Start parents will receive preference for employment vacancies for which they are qualified.
