Gift Processing Lead

Reporting to the Parish and Donor Relations Officer, the Gift Processor Lead performs daily gift processing for the Archbishop’s Annual Appeal and other programs and projects for the Archdiocese of Atlanta. This role serves as the primary liaison with our parishes to address gift processing inquiries and resolve issues. The Gift Processor Lead collaborates with our Finance Department and outside vendors to ensure the implementation of appropriate controls, timely and accurate reconciliations, enhance processes, and resolve issues. This role responds to donor inquiries promptly and delivers exceptional customer service. 

Areas of Responsibility: 

Duties and Responsibilities

  • Primary contact person for daily gift processing for all gift types.
    • Reconcile deposit files received to bank deposits.
    • Reconcile gift files to be imported and collaborate with vendors to resolve discrepancies successfully.
    • Upload gifts to Blackbaud Raiser’s Edge (RE) within 1 business day of receipt.
    • Ensure vendors meet agreed upon processing deadlines.
    • Update internal tracking logs daily.
    • Escalate processing issues that remain unresolved after 24 hours.
    • Provide vendor with updated house files.
    • Send forecasting for any new direct mail pieces and reply cards for scanline programming per guidelines.
    • Provide forecasting for acknowledgment letters based on data and maintain annual letter updates and letterhead and envelope stock.
    • Run house file through NCOA quarterly.
    • Perform Omatic merge and other methods to clean up duplicate records.
    • Work with parishes and OMA to provide solutions for parish gift processing issues.
  • Receive annual appeal parish goals from finance, mail them to individual parishes, and provide marketing for collaterals and posting.
  • Accept and process gifts (other than Annual Appeal) following proper coding and process for deposit and distribution.
  • Accept and Process gifts received through stock, IRA, and DAF donations following proper coding and process for deposit and or distribution.
  • Work with the Finance Department for processing DAF checks, monthly reconciliation, and closing out the year-end.
  • Plan and manage the annual pledge reminder process, including updating pledge shells, envelope designs, and stock levels.
  • Plan and manage the year-end tax letter mailing process including updating tax letter and envelope design and stock levels.
  • Provide timely reporting as requested by OMA team.

• Manage the Annual Appeal email box         

  • Log and respond to donor inquiries within 2 business days.
  • Update RE with actions taken to resolve the donor question/issue.
  • Identify trends and collaborate with team for problem resolution.

•Log and respond to the Annual Appeal voice mailbox and respond to donor inquiries within 2 business days.

•Maintain and update the donor contact log daily.

•Run Parishsoft reports monthly for deceased donors and update RE as needed.

•Manage the thank-you letter process for selected donors (e.g., OMA thank-you letter)

  • Manage letterhead, envelope, and card stock inventory.

•Assist in managing invites and RSVPs to donor events.

•Other duties as assigned.

Educational Background: 
High School Diploma or GED
Two years of college OR other equivalent training/education
Skills/Experience: 
  • Experience working in a parish stewardship office a plus.
  • Proficient in database management, Microsoft Office Suite, and other computer skills.
  • Experience with Blackbaud Raisers Edge CRM and Give Central a plus.
  • Fluency in Spanish is a plus.
  • Strong attention to detail.
  • Ability to execute both independently and on a team.
  • Excellent communication and phone conversation skills.
  • Team player. Work well in a collaborative manner.
  • Compassion and empathy for the needs of our parishes and donors.
  • Dynamic team player. Able to provide ideas, feedback, and problem solve to resolution.

Compensation/Benefits: 

$22.43-$27.31-$32.14
