The Health Care Assistant performs a variety of client care services in accordance with agency policies and in a courteous and professional manner. Provides general health and contraceptive information to clients, assists with medical procedures and performs clerical functions, while ensuring quality client care and excellent customer service. The Health Care Assistant is responsible for customer service skills in person and on the telephone. Must be pleasant, courteous and helpful. Requires an understanding of and commitment to quality healthcare and excellence in customer service; practice these values in relation with internal and external customers. Supports the revenue cycle through accurately and effectively managing cash collections, verifications, sliding fee scale, daily closing procedures, and charge closing procedures, and other related processes.
- Greets patients; schedules appointments; registers patients; answers phones; check patients out; refers patient's call to nurse or clinician as appropriate. Provides callers/patients with information on agency patient care related services and appropriate resources as necessary.
- Performs reception and office duties including, filing, mail sorting, faxing, and filling out reports for statistics.
- Reviews agency’s fees and payment plans with patients. Collects fees from patients using appropriate fee scale in place, and verifies income as appropriate for Title X or other discounted charges. Assists in daily cash reconciliation and daily bank deposit.
- Provides customer focused services. Anticipates needs of the patients and performs necessary duties to ensure patient satisfaction and promote clinic success. Responsible for establishing effective and enduring relationships with patients and other PPGOH constituents as appropriate.
- Gathers and records all pertinent information from patients in order to provide health services. Enters information on patient visits into the medical record and patient data system. Maintains patient data system files with accurate, current patient information.
- Assists health center manager and clinician to facilitate clinic flow.
- Files and retrieves medical reports and records for patients; transfers medical records to other health centers as requested.
- Sets up, breaks down, and maintains reception/waiting room during health center hours, lab, examination rooms and counseling rooms and ensures they are clean, stocked with necessary supplies for the day and in proper working order.
- Informs Health Center Manager of needed supplies, equipment maintenance, and problems.
- Participates in a team approach delivery system of services to patients in accordance with PPGOH policies and procedures and current medical standards. Promotes/maintains communication with patients, peers, health center manager, clinicians and administration.
- Maintains confidential records, reports, and statistics of pertinent data regarding each patient visit and phone contract. Documents patient contact information in the medical record. Maintains and supports the confidentiality of patients at all times.
- Participates in risk and quality management processes. Adheres to HIPPA, OSHA and CLIA regulations and workplace safety policies.
- Attends in-service, workshops, seminars, and staff meetings.
- Performs other health center functions or miscellaneous duties as needed or assigned.
- respond to patients calling for medical questions or test results;
- conduct intake or initial patient interviews;
- provide correct contraceptive and reproductive health care education;
- perform all appropriate and necessary lab services;
- complete supply visits and pregnancy test visits;
- provide appropriate referrals and documentation for services not provided;
- facilitate lab and referral follow-up to ensure patients receive necessary information and care.
- LPN/MA can administer medication according to scope of practice or licensure
QUALIFICATIONS
- Experience in health care setting preferred; reproductive health experience preferred. Ability to understand medical terminology preferred. Must be able to work with individuals of diverse socioeconomic backgrounds. Caring, but assertive customer service skills required, with ability to remain customer-focused. Ability to express information in a clear and concise manner, either verbally or in writing. Typing skills and ability to operate a computer required. Must be flexible and be able to work in a fast-paced setting. Commitment to essential job functions necessary to carry out the goals and objectives of Planned Parenthood.
EDUCATION and/or EXPERIENCE
- Experience in health care setting desirable; family planning experience preferred. Experience demonstrating good communication skills, trustworthy non-judgmental manner, and ability to work with individuals of diverse socioeconomic background.
- Position also requires demonstrated ability to perform all of the duties of an HCA I with “good” or “excellent” remarks demonstrated on personnel evaluations or equivalent. Position requires at least one year of experience with PPGOH or equivalent experience. Position requires specialized training assigned by the Center Manager consistent with the job duties of the position.
