Assists in the administration of the human resources (H.R.) department in the headquarters office through various administrative procedures and activities in pursuit of department effectiveness and efficiency. Assists in the maintenance of personnel files, records, databases, department systems, and resources through report generation, data entry, audit, research, and monitoring unresolved items.

Position will primarily file documents and scan and organize documents.

Basic Responsibilities:

  • Assist in the maintenance of the organization’s personnel records on a daily basis; file employment records. Ensures file system is accurate, up to date, well organized, and accessible; includes filing documents, creating and transferring files. Ensure documents and files are organized, accurate and appropriate for file; rectifies as directed.
  • Assist in the reconciling and processing of invoices and charges associated to employment screenings through report generation, data entry, research, and calculations as part of the service agreements with vendors and agencies. Collaborate with department associates to complete check request.
  • Retrieve documents or information, and provides clerical support to supervisor, department staff, field Human Resources Directors/Coordinators, or others as assigned.
  • Collaborate with department associates to complete common goals and for the maintenance of shared information. 
  • Provide assistance to the organization’s managers, HR associates, supervisor, department associates, or others as assigned, while promoting self-service and available resources.
  • Compile reports for data entry, management, quality control, and as requested.

Qualifications:

  • One year of experience working in an office environment preferably as an administrative assistant, or equivalent
  • Three years of experience with data entry and paper file maintenance
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint), Windows-based applications and internet usage
  • Knowledge of standard filing practices, general office operations, procedures, and equipment
  • Knowledge of Microsoft Word, Excel, Outlook, Windows-based applications and internet usage
  • Ability to type with sufficient speed and accuracy to perform job functions
  • Ability to exercise discretion and maintain a high level of confidentiality to handle sensitive and confidential situations and documentation
  • Ability to maintain customer-service orientation and professionalism in all interactions
  • Excellent oral and written communication skills
  • Ability to scan and electronic archive documents and records, and keep them well organized and accessible
  • Ability to prioritize and organize a diversified workload and be able to produce high-quality results with meticulous attention to detail
