United Way of the Capital Region is looking for an experienced Administrative Assistant to provide administrative and customer support for the major gifts and planned giving programs as well as other resource development efforts.
To provide administrative and donor service support for the planning, coordination and implementation of the individual major gifts ($10,000+) and the individual leadership gifts ($1,000+) programs as well as supporting workplace campaign efforts to meet the United Way of the Capital Region’s fundraising goal.
Provide administrative support to Major Giving and Workplace Campaign staff
- Maintain accurate records pertinent to individual giving efforts. This includes prospect lists, designation and gift data, event attendance and volunteer committees. This data is for the Tocqueville Society, Planned-Giving, Non-workplace and related events.
- Compile data and summary reports for department needs, ie designation reports, gift and pledge tracking, annual prospect lists, etc.
- Coordinate Tocqueville designation requests: data and gift entry, donor and agency designation confirmation, and summary reports.
- Prepare materials for mailings to include list management, merging letters and other materials, collating, stuffing and mailing. This includes the annual campaign packets and thank you letters for donors.
- Provide administrative support for volunteer committee meetings, assuming responsibility for attendance, room reservations, refreshments, distributing agenda and supporting documentation.
- Provide support for workplace campaigns including collecting committee member information, pulling Campaign Excellence Award data, tagging CEO solicitors, assisting with coordinator workshops, and preparing campaign associates and Loaned Labor Leader’s materials.
- Provide support as needed for special events both prior to the event and on-site for the event with invitations, reservations, attendance, and other duties as assigned.
Manage relationships with donors and prospects
- Work cross-functionally with Marketing/Communications to produce materials and tools to communicate regularly with donors and supporters.
- Identify opportunities to network with donors and prospects and engage members of the staff, Board and Volunteers as appropriate.
- Identify and implement opportunities for donor recognition, stewardship and appreciation.
- Ensure all gifts in the major gifts program receive follow-up communications and recognition.
Coordinate and prepare for annual governmental campaign programs
- Complete and submit the Combined Federal Campaign application and coordinate agency enrollments and activities within this program.
- Coordinate the State Employee Combined Appeal (SECA) agency application process. Through ongoing communication, verify and secure necessary agency documentation to secure acceptance.
Collaboration with Organizational staff
- Assist in establishing and implementing work flow priorities to increase efficiency in meeting departmental objectives and work quality.
- Assist in Front Desk coverage as back-up to the Receptionist.
- Three- five years’ administrative experience.
- Demonstrated effective oral and written communication, organization and interpersonal skills.
- Demonstrated proficiency in Microsoft Excel and Word.
- Demonstrated ability to work with executive levels in business, industry and government, foundation management, and other key community leaders.
- Possess and maintain a valid driver’s license.
The compensation range for this position is an hourly rate of $16.41 - $17.43, based on experience, and is supplemented with a very generous benefit package.
