The GIKC Membership & Engagement Coordinator supports the mission of United Way of the Piedmont (UWP) and the Gifts in Kind Center (GIKC) by deepening relationships and driving impact. This position builds relationships and develops partnerships with GIKC member agencies and community volunteers to support strategic goals. Responsible for managing membership processes, conducting vital administrative duties, and delivering an exceptional volunteer experience.
GIKC Membership Services (35% of time)
Membership Support
- Develop and maintain knowledge of and positive relationships with community agency partners
- Serve as key point of contact regarding GIKC membership
- Distribute GIKC membership applications and materials and provide GIKC tours to interested nonprofit agencies
- Maintain the GIKC membership waiting list, providing regular updates to agencies
- Schedule, plan, and conduct new agency orientation and shopper training
- Maintain and update GIKC policies and procedures, communicating changes to members and providing training as needed
- Always keep agency contact information up to date, conducting research when necessary to locate current information
Agency Shopping
- Maintain online master schedule for shopping appointments
- Serve as internal expert on schedule system, facilitating new accounts, trainings, account updates, and answering user questions as needed
- Routinely open daily shopping time slots and confirm pending appointments
- Work with agencies on the warehouse floor, as needed or requested
Administrative Support
- Serve as primary administrative support for the GIKC, answering phones, maintaining common areas, and ordering supplies
- Support the GIKC Director and UWP Finance team with the agency application and renewal processes
- Plan, schedule, coordinate, and maintain records of GIKC site visits, in conjunction with GIKC Director
- Create and track correspondence to agencies, including site visit follow-up letters
- Maintain GIKC records, including shopping schedules, billing, volunteer records, etc.
- Assist UWP Finance team with the processing of Accounts Payable & Accounts Receivable transactions
- In collaboration with Executive Team Assistant and VP of Finance, coordinate GIKC Committee meetings, including setup, invitations, minutes, and follow-up
GIKC Volunteer Services (35% of Time)
Volunteer Recruitment
- Identify ideal staffing levels for the GIKC to ensure safe, efficient operations
- Develop a volunteer recruitment plan, in collaboration with the GIKC Director and VP of Engagement
- Ensure adequate and appropriate volunteer application and screening tools are in place
- Implement recruitment plan, conducting passive and active outreach to fill openings
Volunteer Management
- Understand and demonstrate use of effective volunteer engagement and retention strategies
- Support organizational work on Constituent Relationship Management (CRM), ensuring volunteer experience is positive, on-brand, and commitments are reasonably met
- Plan and execute all aspects of GIKC volunteer projects with a high degree of attention to detail and excellent customer service
- Train, schedule, and deploy volunteers
- Work alongside volunteers on warehouse floor as needed or requested
- Develop a volunteer survey to track satisfaction, intentions, and feedback
- Lead the planning and implementation of quarterly volunteer meetings and an annual volunteer appreciation event
Volunteer Impact Analysis
- Track and record all GIKC volunteer engagement efforts in central database
- Ensure individual volunteer data is available according to standards
- Evaluate and analyze volunteer engagement success, needs, and areas of growth
Engagement Support (30% of Time)
Stuff the Bus School Supply Drive
- Help plan, coordinate, and execute Stuff the Bus in collaboration with Corporate Engagement Associate
- Facilitate sorting and distribution of school supplies at the GIKC
- Communicate with recipient agencies and gather impact stories and data
Get Connected Technical Assistance
- Serve as internal expert on the Get Connected volunteer matching system, providing support for agency and volunteer users
- Input quarterly projects and one-time events
- Pull reports as requested by VP of Engagement
Reading Buddies Volunteer Coordination
- Maintain Reading Buddies volunteer records
- Send communications to Reading Buddies volunteers
- Provide monthly reports of volunteer engagement, hours, impact, and stories to VP of Engagement
- Coordinate site visits with VP of Engagement and Community Engagement VISTA
College and Community Volunteer Support
- Serve as key contact for college and community volunteer groups
- Refer groups to Get Connected and other community partners for projects, as needed
- Serve as backup to attend engagement projects and connect the project to UWP mission & goals
Collaborate internally to support overall Brand Engagement strategic goals
- Deepen community relationships through engagement, building knowledge about community issues, strengthening ties to UWP, and delivering a positive brand experience
- Work cross-functionally with all internal UWP teams to support engagement goals
- Collaborate with Marketing & Communications staff to design a variety of GIKC and community engagement-focused resources and promotional materials, including toolkits, web pages, invitations, social media posts, posters, flyers, graphics, mailings, t-shirts, etc.
Support Engagement department goals and objectives

- Prior experience creating and implementing volunteer programs and training
- Prior experience in a warehouse setting
- Ability to use a pallet jack
- Certified forklift operator
Other Minimum Requirements
- Valid driver’s license and access to transportation throughout the workday
- Ability to work early morning, evening, or weekend hours occasionally as needed and with notice

- Must be able to push or pull up to 50 pounds with assistance on occasion
