The American Heart Association (AHA) has an excellent opportunity for a Manager, Grants Administration in our National Center office located in Dallas, TX (Central US is acceptable) .

The Manager, Grants Administration is responsible for ensuring AHA excellence in preparation, implementation, monitoring, management and reporting of restricted gifts. Additional responsibilities include coaching staff members to their highest potential and productivity, providing day-to-day supervision, performance evaluation, goal-setting and other managerial duties for the position's assigned team.

Essential Job Duties:

  • Coaches, mentors and manages grants administrators to successfully administer restricted gifts in assigned portfolio. Encourages and guides team members’ development of grant and project management skills as well as building interpersonal relationships both internally and externally, demonstrating the ability to navigate and resolve arising issues.
  • Ensures accountability and quality, fulfillment and reporting accuracy, timeliness and professionalism of the Grants Administration team. Builds a culture of collaboration, project leadership and customer service. Effectively communicates results and updates related to area of responsibility.
  • Leads grant kick off meeting to ensure all parties are informed and will support compliance. Integrates grant requirements into program and monitors processes. Develops and maintains internal records and systems to support program management. Develops timely, accurate, professional-looking and compelling program reports that communicate impact, results, and comply with donor reporting requirements. Coordinates with key internal stakeholders including but not limited to finance, quality and systems improvement, multicultural initiatives, research, mission advancement, advocacy and communications staff. Ensures that activities function within the parameters of American Heart Association policy.
  • Responds to direct inquiries from donors and others with the highest level of accuracy, timeliness, and Represents Mission Advancement at foundation fulfillment meetings as needed. Develops a strong working relationship with the program officer(s) and other grant maker representatives, in collaboration with Mission Advancement staff.
  • Contributes and/or provides consultation during the proposal stage/pre-award, to the development of budgets, grant implementation plans,outcomes/deliverables,that would later requiremonitoring/reporting.
  • Oversees and stewards endowment funds assigned, conducts research and initiates contact with the donor (if unassigned to other staff), provides an appropriate level of reporting, and sets the stage for renewal.

Required Experience

  • Bachelor Degree from a four-year college/university in a related field of study.
  • Minimum of five (5) years of experience with budget development and management, including a minimum intermediate level mastery of Microsoft Excel.
  • Minimum of three (3) years of experience:
  • Supervising and developing staff
  • Developing reports, presentations and customized correspondence
  • Grant writing, administration or management
  • Intermediate level of skill in database navigation, report/export generation, and use of dashboards.
  • Prior experience leading collaborative teams
  • Must be able to travel overnight approx. 10% of the time.

Here are some of the preferred skills we are looking for:

  • Experience supervising a remote workforce.
  • Experience using donor relationship management software, such as Blackbaud or Dynamics.
  • Advanced degree in evaluation, finance, project management or other related experience and training.
