The Event Coordinator will support the events functional area in producing and managing highly visible events/experiences with up to 1,000 guests and growing to enhance and promote United Way of Amarillo & Canyon. This position will also enable the organization to deliver key messages, market the United Way brand, increase engagement with and in connection to United Way, increase revenue, and support the overall goals of the organization.

Areas of Responsibility: 
  • Support the Marketing and Communications Director in the planning and execution of United Way events including but not limited to: Kickoff Luncheon, Youth Leadership Day, Victory Celebration, Day of Caring, Young Professionals United, Loaned Executive Training, etc.
  • Serve as lead on events and initiatives and/or support leadership staff when necessary.
  • Effectively manage event budgets in keeping with United Way’s commitment to excellence and efficiency
  • Scout event locations and develop relationships with vendors
  • Lead the planning and execution around event all events including, but not limited to: registration and on-site execution, project management, developing and maintaining a detailed production schedule for each event outlining all activities and deadlines, manage logistics needs of events including but not limited to catering needs, audio/visual needs, room décor, parking needs, etc.
  • Managing staff volunteers and vendors to insure activities and deadlines are met
  • Support troubleshooting real and potential pitfalls and risks to production deadlines/event and recommend a course of action
  • Support scheduling and conducting of regular production meetings with all parties involved
  • Provide regular communication and updates on the status of events when necessary
  • Support the Director of Marketing & Communications with engagement of external partners/vendors.
  • Collect revenue from events and work with finance department for account reconciliation
  • Recruit, train and manage event volunteers
  • Support excellence and event standards established by the Director
  • Flexibility - Days, evenings and weekends are required as dictated by event slate
  • Other duties as assigned
  • Administrative tasks as needed – i.e. name tag printing, event signage, check processing, expense reporting, event financial reconciliation, etc.
Educational Background: 
Bachelor’s degree preferred
Skills/Experience: 
  • 3 - 5 years of corporate or association event experience
  • Project Management experience
  • Experienced with accepted event management practices and protocols
  • Comfortable with technology and knowledge of event management
  • Excellent verbal and written communication skills and adept at communicating verbally with professionals at all levels
  • Self-starter with the ability to build rapport with others, work independently as well as with a team; manage and prioritize multiple projects
  • Strong computer skills (including but not limited to Microsoft Word, PowerPoint, Excel)
  • Experience working in highly confidential, complex, high-pressure, tight-deadline situations
  • Comfortable with and open to learning new technology software and digital tools necessary for the role
  • Knowledge and use of social media channels including but not limited to Facebook, Twitter, Instagram
  • Knowledge of effective record keeping and follow-up; attention to detail
  • Demonstrates creativity
  • Able to lift up to 20lbs
  • Able to handle physical tasks – i.e. moving and transporting event materials, banners, collateral, signage, etc.
  • Commitment to learning and enhancing skills to be used in the workplace
  • Demonstrates winning Social Customer Service techniques such as empathy, patience, advocacy and conflict resolution
  • Possesses great ability to identify potential negative or crisis situation and apply conflict resolution principles to mitigate issues
  • Ability to handle confidential information and management of a variety of responsibilities
  • Current driver’s license, reliable transportation and cell phone required

In addition to these job-specific responsibilities, the Event Coordinator will serve as a member of United Way’s staff. He/she will participate in the support of other assignments as appropriate. In this capacity, the Event Coordinator must fulfill the following organizational requirements:

  • Uphold the mission, vision, and values of the United Way of Amarillo & Canyon;
  • Adhere to all personnel policies and practices outlined in the Employee Handbook;
  • Keep immediate supervisor informed of all pertinent information related to outlined job responsibilities, and other responsibilities as assigned
