- Effectively and efficiently, process incoming and outgoing correspondence (mail, fax, email)
- Courteously manage phone calls and ensure messages are handled appropriately
- Notify staff when their appointments arrive
- Make travel arrangements and bookings, prepare expense reports as needed
- Arrange accommodations, transportation and other logistics for HFHI staff arriving to Puerto Rico
- Organize and manage interdepartmental meetings and conferences.
- Proactively ensure logistics and refreshments for management and other meetings.
- Oversee all general office photocopying and general office duties, such as binding of documents, preparation of files for conferences and any filing that may be required.
- Maintain supplies inventory for offices
Educational Background:
High School Diploma
Skills/Experience:
- Computer literacy in MS Office (Excel, Word & Outlook).
- Good interpersonal, communication and writing skills
- Strong organizational skills
- Good attention to detail.
- Experience maintaining supplies and inventory
- Experience working with Disaster Response projects
