The American Heart Association office in Nashville, TN, has an exciting opportunity for a Development Specialist. This position will focuson administrative and logistical support for assigned fundraising events in Middle Tennessee. Responsibilities will include database management, financial reporting, and administration of the American Heart Association’s field fundraising activities.

Areas of Responsibility: 
  • Administrative and data management: to include data entry into internal database systems; processing invoices and payments; preparing correspondence and spreadsheets; informational materials and reports; accountability and upkeep of sponsorship agreements; supporting fundraising directors in meetings and at events as needed (i.e. meeting minutes, administrative support).
  • In this role, you will serve as secondary Affiliate Accounting Liaison, which includes ensuring all funds raised in support of the mission are able to be recorded and payments are received by due dates; ensuring accuracy, execution, proficiency and adherence to the latest policies and practices of the AHA as they relate to fiscal and event financials; and understanding and communicating to local staff the process for sponsorship agreements, vendor contracts, vendor payments, and event reconciliation.
  • Event support : to include coordinating event materials (invitations, brochures, tribute journals, gift bags); securing auction items and in-kind; managing and tracking direct and indirect expenses; preparing attendee list and tracking registration; working with vendors; obtaining required permits; attending assigned events to help with set-up and tear down; and working with director to ensure all event related items are completed in a timely manner.
Educational Background: 
High School Diploma/GED, Bachelor's Degree (or equivalent combination of education and experience) preferred
Skills/Experience: 
  • 2+ years of significant office experience preferably with a non-profit or public service organization
  • Ability to prioritize and handle multiple tasks, managing multiple territories simultaneously
  • Attention to detail and drive for excellence
  • Knowledge of principles and procedures of project management
  • Ability to plan work, organize and maintain workflow
  • Excellent verbal and written communication skills
  • Ability to work with people at all levels and maintain effective interpersonal relationships
  • Advanced skills in Word, Excel, Power Point and Outlook are required
  • Ability to work independently and outside standard hours as needed
  • Ability to lift 20-30 pounds
