The Executive Director will be supervised by, report to and work collaboratively with the Board of Directors in leading United Way Lowndes County (UWLC) Specifically, s/he will ensure that United Way’s fiscal, operations, public policy, fundraising, marketing, and programmatic strategies are effectively implemented across all segments of the organization.
Areas of Responsibility:
Administrative:
- Develop and implement the budget for the administration of the non-profit organization and annual campaign. Work with bookkeeper to prepare annual tax letters, audit reports, State of Mississippi Charities Registration, and U. S. Census Bureau report. Complete United Way Worldwide annual membership reports and ensure best practices requirements are met.
- Develop financial policies to include management and oversight of financial resources, operating budget, collection and disbursement of funds, accounting for all funds, property and official records and destruction of confidential records. Review monthly financial reports with the bookkeeper, review monthly expenses and co-sign payroll, allocations and operating checks. Provide audit reports (board information, in-kind reports, pledge information, other) to audit preparer. Submit Financial Policies, audit and 990 to board for annual review.
- Assist with identifying and cultivating board members who are philanthropic, knowledgeable of our community, and culturally and socially diverse, to broadly represent our community at-large and assure the continuity of top-level volunteer direction for United Way. Update board term history and prospect spreadsheet for the committee. Prepare materials for nominees to make informed membership decisions. Develop board manuals, meeting calendar, create orientation slide show and implement board orientation.
- Maintain board by-laws, policies, financial policies and financial records. Review/revise annually or as needed for the effective operations of United Way.
- Advise staff and volunteers on compliance in routine and special activities. Ensure each board member signs the Code of Ethics Forms and file.
- Coordinate meetings, prepare agendas, and compile reports for conducting business with the executive committee, board of directors and multiple committees. Write, review and submit monthly and quarterly meeting minutes.
- Review insurance policies, update as needed.
- Administer Charity Tracker web-based program.
Staff Management
- Develop staff policies, guidelines and procedures. Review annually or as needed to keep current. Revise as needed. Confer/research with other non-profits for best practices.
- Promote and present opportunities for staff to benefit from outside learning opportunities and membership in civic and professional organizations to enhance the employee’s skills, provide a networking base and foster greater visibility for United Way mission.
- Develop staff job descriptions, conduct annual staff performance evaluations and develop goals and timelines. Hold regular individual and group staff meetings to discuss projects and timelines.
Campaign
- Collaborate with Campaign Chair to identify and recruit candidates for campaign cabinet.
- Develop campaign materials including cabinet and coordinator training materials, cabinet campaign manuals, brochures, posters, letterhead, forms, guides, etc.
- Assist campaign cabinet with cultivating new work force campaigns and securing corporate gifts.
- Work with company CEOs and campaign coordinators to develop and sustain successful annual employee campaigns.
- Assist coordinators with company campaign presentations.
- Work with volunteers to write effective funding letters and conduct mass mailings.
- Create spreadsheets to report on campaign progress and identify areas requiring special effort.
- Work with Lowndes County Board of Supervisors to secure funding. [Currently approved for $130,000 in designated funds – 2018].
- Plan/implement Pacesetter and Campaign Kick Off activities. Assist with special events.
- Grant writing.
Allocations Process
- Serve as resource for Allocations Chair and volunteers.
- Confer with area United Ways on funding policies and agency relations.
- Serve as funded agency / allocations volunteer liaison.
- Review and revise agency proposals annually to keep current with local, state and federal non-profit financial guidelines, board governance and best practices. Collaborate with/advise allocations chair and committee of needed revisions and implement.
- Assist with panel volunteer recruitment.
- Prepare proposal cover letters, including any modifications to the proposal and allocations process timeframe. Prepare allocations announcement letters for allocations chair with funding levels and stipulations and/or recommendations (if any).
- Generate historical reports and projections for panel meetings and executive and full board reviews. Send final report to bookkeeper for use in monthly allocations.
- Review agency quarterly reports. Advise the executive committee of discoveries of agencies engaged in detrimental practices and assist in taking appropriate action.
- Coordinate meetings with agency directors and board representatives as needed over the course of the year to ensure agency accountability and sustained integrity of the allocations process.
Federal Emergency Food and Shelter Program (EFSP) – federal grant
- Chair, Lowndes County Local Board.
- Coordinate and implement annual funding process and board activities, including advertising availability of funds, compiling annual board plan (application for funding), interim reports and end of year reports, planning quarterly meetings, and more.
- Serve as liaison for local agencies, EFSP Local Board and National Board.
Special Events
- Coordinate community-wide events.
- Secure donated use of facilities for events.
- Secure caterers and work with chefs and restaurant staff.
- Create invitations for events.
- Develop/design awards
- Develop agendas, programs and scripts for major events.
- Develop annual meeting slide show, set up table decorations, and clean up following the meeting.
- Work with agencies, media and other community resources following major weather or fire related disasters to solicit and collect supplies and lead and /or assist with volunteer efforts. Manage calls from the community.
Public Relations/Branding
- Establish and maintain significant relations with people of all levels within the community, including corporate chief executive officers, labor representatives, education, health and humans service personnel, local, state and federal government officials and representatives, and community and civic organizations.
- Enhance the public understanding and support of United Way’s mission through a coordinated Public Relations program.
- Originate marketing themes and designs.
- Solicit and/or write radio, television and newspaper promotions, press releases, interviews and features. Compile information and statistics, obtain quotes, set up photo shoots, create display ads, write Public Service Announcements, submit “small” PSA ads and more.
- Speak to local civic and professional organizations about United Way mission.
- Write scripts and collaborate with United Way and WCBI staff to develop a theme and provide input on campaign DVD.
- Participate in professional and non-profit community building organizations to network, serve as a resource, and educate the community about the United Way mission.
Agency Relations
- Schedule quarterly agency group meetings / tours to:
- Learn about / train on United Way activities
- Learn more about each organization’s missions
- Create opportunities for collaborations and networking
Educational Background:
Bachelor's Degree required; Master’s Degree preferred.
Skills/Experience:
