The Staff Accountant – Grants and Finance will receive training to assume responsibility for reporting and accounting for Federal, State and Local grants and contracts, to review submitted expenses, to confirm allowability and to submit invoices to the funding agency.  They will work closely with the Vice President of Finance to serve as support and assist with preparation of the annual grants operating budget as well as support for A-133 and funding agency audits.

The Staff Accountant will also support the Vice President of Finance with various month end closing and analysis duties as well as special projects for the organization.

Areas of Responsibility: 

Grants Compliance and Reporting

  • Accounting, reporting, and analysis for Federal, State, and Local grants or contracts:
    • Prepare and issue accurate and timely monthly, quarterly and annual reports in compliance with grant contracts.
    • Prepare monthly and quarterly grant contract reimbursement requests in accordance with funding agency requirements.
    • Analyze and review supporting documentation to ensure proper allocation of expenses to comply with applicable grant or contract requirements, including documentation from subcontractors in support of periodic expense reimbursement requests.
  • Grant and contract budget reviews:
    • Support senior Finance staff and Program Managers with the review of grant and contract proposals.
    • Review budget to actual expenses to assist in monitoring status of expenditures for over/under spending.  Propose budget revisions as necessary.
  • Review subcontractor reimbursement requests for compliance in accordance with funding agency requirements and guidelines:
    • Work with Program Managers to propose budget revisions to adjust for over/under spending or to request pre-approval from funding agency for any unbudgeted expense.
    • Function as the liaison with subcontractors for financial compliance audits.
  • Function as the liaison with United Way grant staff and Program Managers to support grant and contract accounting requirements.
  • Prepare A-133 and annual financial audit work papers as requested.

Finance Department Support

  • Provide assistance with special projects as required by Vice President of Finance.
  • Support VP of Finance in completing the annual budget, including analysis and reporting.
  • Assist with annual review of accounting policies and procedures, including grant related standard operating procedures.
  • Responsible for preparation of partner agency financial scorecards. 
  • Participate in cross-functional project teams within the organization as appropriate.
  • Perform other duties as assigned.
Educational Background: 
Bachelor’s Degree in Accounting or Finance, with the completion of at least 30 hours of accounting coursework.

Experience

  • Entry level position with 1 to 3 years of experience in the accounting profession. Knowledge of federal and non-federal government grants preferred.

Other Knowledge, Skills, and Abilities:

  • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Experience with Great Plains accounting software preferred.
  • Knowledge of Generally Accepted Accounting Principles.
  • Experience in maintaining accounting records, preparing account reconciliations, and preparing various spreadsheets and reports.
  • Good communication skills.
  • Must be extremely detail-oriented with strong analytical and organizational skills.
  • Ability to solve problems and meet deadlines quickly and with minimal supervision.
  • Ability to maintain the confidentiality of donor, payroll, and other sensitive information.
  • Must be self-motivated, independent, and flexible.

Physical Demands/Work Environment:

  • The employee is regularly required to sit, stand, walk, reach with hands and arms, talk and hear.
  • Moderate to high level of stress caused by tight deadlines.
  • Moderate level of mental and/or visual fatigue and/or eyestrain may result from looking at a computer screen for extended periods of time.
  • A modest amount of work outside of normal business hours.
  • Moderate office noise level.
  • Ability to push, pull and lift 25#.
