Accounts Payable Specialist

To process disbursements in a timely and efficient manner while maintaining positive vendor relationships and ensuring adherence to relevant policies and regulations.

Areas of Responsibility: 
  • Review payment requests and related invoices, including business expense reimbursements and company credit card activity, for compliance with policies and procedures, including appropriate documentation, account coding and authorization
  • Process disbursements with a high level of customer service, accuracy and timeliness
  • Clear outstanding checks in accordance with policies and procedures, including research and submission to Colorado Payback when required
  • Process Designation Payouts on a monthly and annual basis, working cross-functionally with Resource Development and Campaign Accounting staff and software to ensure accuracy and timeliness
  • Provide timely customer service for the donor information portal AgencyLink as part of Designation Payout, including setting up new accounts, answering user questions, and updating organization information as requested
  • Manage vendor relationships, including resolution of vendor inquiries and preparation of business credit account applications
  • Obtain W9 forms for new vendors and ACH information for vendors and agencies
  • Generate and issue annual 1099s, 1096 and related reports in accordance with filing requirements as necessary
  • Provide back-up for maintaining contracts database on Salesforce
  • Prepare journal entries occasionally as assigned
Educational Background: 
Bachelor's degree preferred or equivalent work experience
Skills/Experience: 
  • High degree of accuracy and attention to detail
  • Excellent written, oral, and strong interpersonal communication skills
  • Well-organized, with the ability to handle multiple priorities
  • Proven ability to adapt to changing business needs in a dynamic environment
  • Strong customer service skills essential
  • Ability to work independently without close supervision
  • Ability to operate under time pressure in a medium- to high-volume environment
  • Experience with Microsoft Office Products, proficient in the use of Excel; Experience with MS Dynamics package (especially Dynamics SL and Dynamics 365) preferred but not required
  • Experience with Salesforce preferred but not required
