The Vice President for Finance & Administration (VPFA) reports to the Chief Operating Officer and is a part of the senior management team working directly with the CEO. The senior management team is responsible for the implementation of United Way’s strategic objectives
The VPFA will play a central role in advancing United Way’s community initiatives through the careful identification, use and stewardship of resources. The vice president is expected to monitor United Way’s budget, while supporting the president and other senior leaders in setting budget priorities, identifying and allocating resources, and working to develop entrepreneurial alternatives that optimize funding options in support of the United Way’s mission.
- Prepare all monthly, quarterly and annual financial statements for the organization accurately.
- Supervise the review of all invoices and requests for payment to insure proper approval levels and accurate coding.
- Reconcile balance sheet accounts to subsidiary ledgers or schedules on a monthly basis making any necessary corrections/changes.
- Prepare annual budget – working with department heads, COO and CEO.
- Assist the external auditors by preparing supporting schedules as required and addressing any questions that may arise. Prepare footnotes and financial statements for use by auditors.
- Maintain important papers such as leases, certificates of deposit, insurance policies and property deeds.
- Maintain detailed records of all fundraising costs incurred by campaign and calculate the proportionate share of fundraising costs for certified agencies. Provide results to assistant controller to send letter in July each year.
- Perform annual evaluations/reviews for those positions reporting to the VPFA as well as update position descriptions for the same.
- Maintain an up to date finance procedures manual for the organization.
- Provide necessary schedules and assistance to external firm preparing the 990.
- Assist in cost analysis when acquiring new equipment.
- Attend Board of Directors Meetings.
- Prepare monthly journal entries for interest income, foundation activity, prepaid expenses, prepaid postage and any other entries as needed.
- Prepare financial sections of database 2 report and coordinate with other departments to get their completed sections. Complete online DB2 report.
- The position requires an incumbent with a current Certified Public Accountant license and an accounting or related bachelor’s degree. The Incumbent must be knowledgeable in all areas of not-for-profit accounting, including but not limited to, grant accounting, independent audits, tax reporting, pledge receivables, investments and payment processing. The incumbent must possess supervisory skills and be able to delegate duties to subordinates.
- The incumbent must be personable and be able to positively interact with all types of people. Good communication skills are a must. Excellent customer service is required for successfully accomplishing daily tasks. In addition, excellent verbal and written communications skills are required.
