The Operations Assistant supports AFJ by providing administrative, logistical, and operational support to ensure smooth functioning of AFJ's day-to-day activities. This role is essential to maintaining efficient office operations, supporting organizational processes, assisting with event and meeting coordination, ensuring office and technology needs are met, and supporting staff across the organization.

Working as part of the Operations team, the Operations Assistant helps ensure that internal systems run effectively, and that staff have the resources they need to advance AFJ's mission.

Areas of Responsibility: 

 

Duties and Responsibilities

  • Provide general administrative and operational support, including scheduling assistance, document management, and maintaining organizational records.
  • Support office logistics, including receiving mail, managing office supplies, coordinating vendor services, and helping maintain an orderly and functional office environment.
  • Serve as on-site support one day per week in the Washington, DC office to handle physical office needs, including mail distribution, supply restocking, meeting room preparation, and troubleshooting basic office equipment.
  • Coordinate office maintenance and repairs.
  • Coordinate and manage staff equipment and supply needs for both remote and in-person environments, including ordering computers and related equipment (such as monitors or accessories), tracking device inventory, and monitoring renewals for warranties or insurance coverage.
  • Serve as a point of contact for subtenants, supporting day-to-day needs such as office access, meeting space coordination, mail handling, and resolving routine facilities or operational issues.
  • Assist with meeting and event coordination, including preparing materials, setting up rooms or virtual platforms, tracking attendance, and arranging logistical needs.
  • Support technology coordination tasks such as submitting IT tickets, assisting with equipment setup for new hires, and maintaining inventory of equipment and assets.
  • Assist with onboarding and offboarding processes, including coordinating workspace needs.
  • Support compliance and administrative procedures, including helping monitor internal policies, supporting audits or record requests, and maintaining confidentiality of sensitive information.
  • Provide general support to Operations leadership for special projects and organizational initiatives as needed.
Educational Background: 
Bachlors Degree
Skills/Experience: 

Required Qualifications

  • Administrative, operations, or office support experience
  • Bachelor's degree or equivalent related experience is preferred, but not required
  • Strong organizational and time management skills
  • Ability to manage multiple tasks and maintain accuracy
  • Strong communication and customer service skills
  • Comfort with Microsoft Office and basic technology troubleshooting
  • Ability to work independently and collaboratively
  • Ability to handle confidential information with discretion

Preferred Qualifications

  • Experience in a nonprofit, advocacy, or mission-driven organization
  • Experience supporting hybrid or distributed teams
  • Experience with database or information management systems

 

Compensation/Benefits: 

Compensation and Benefits

This is a union position covered under the terms of a collective bargaining agreement with the Washington-Baltimore News Guild, CWA Local 32035, which includes salary minimums based on job position category. This position is in job group 1 and has a starting annual salary range of $57,500-$63,751.

Insurance

We offer medical, dental, and vision benefits, with 100% of employee premiums paid for by AFJ. Short-term disability, long-term disability, and life insurance are provided at no cost to employees. AFJ also provides access to an employee assistance program for physical and mental well-being.

Retirement

Save for retirement with our 401K plan with a 5% employer contribution.

Time Off

AFJ offers a generous time off policy, including vacation leave, sick leave, personal days, and bereavement leave. AFJ observes 12 holidays throughout the year, and additionally closes between December 24 and January 1.

  • Year 1 (0-12 months): Eleven (11) days of vacation each year (3.66 hours per pay period), with a maximum accrual cap of 17 days
  • Year 2-4: Sixteen (16) days of vacation each year (5.33 hours per pay period), with a maximum accrual cap of 24 days
  • Year 4+: Twenty-One (21 days) of vacation each year (7.0 hours per pay period), with a maximum accrual cap of 32 days

Parental Leave

Eligible employees may take up to sixteen (16) total weeks of leave in connection with the birth of the employee's child, placement of a child with the employee for adoption, or gaining of a foster child. AFJ/AFJ Action provides eligible employees with twelve (12) weeks of fully paid parental leave for purposes of bonding with a new baby following a birth or placement of a child for adoption or gaining of a foster child.

Geographic Location:

Work Arrangement:

  • Hybrid
  • At least one (1) in-office day per week is required. Additional onsite duties may be required depending on operational needs.

  • While performing the duties of this job, the employee is regularly required to use a computer and communicate with others while doing so.
  • On occasion, travel by car, train, and/or airplane may be required.

Travel requirements:

  • For employees located outside of Washington, DC or working remotely in the DC area, travel to events such as staff retreats and other work meetings will be required approximately one to four times per year.

Schedule:

  • Full-time
  • Days and hours of work are Monday through Friday, 9:00 a.m. to 5:00 p.m.
  • Some occasional evening and weekend hours may be required.

Direct Reports

This position has no direct supervisory responsibilities.
