Director of Operations

We are seeking an organized and compassionate person to serve as our Director of Operations. Strong administrative skills are a must. For the right person, this is an opportunity to use your talents to make a difference and help animals.
We are a high impact non-profit organization that focuses on passing laws to help greyhounds and promoting the adoption of ex-racers. Our office is casual, friendly, sometimes fast-paced and cruelty free, with resident dogs. Every day will bring new projects. The Director of Operations oversees the day-to-day administrative, operational, and organizational functions of GREY2K USA Worldwide, ensuring the effective execution of fundraising, advocacy, and organizational activities. This role manages internal systems, donor operations, and office administration in a small, fast-paced nonprofit environment.
The best candidates will have extensive experience with database management. You must be dependable and have an attention to detail, as well as a commitment to helping animals.
We are conveniently located on the public transit system in Arlington, Massachusetts and this is an on-site opportunity only.
Hours: Full-time
Key responsibilities include:
Operations & Office Administration
- Manage daily office operations, including retrieving and processing mail, distributing correspondence, and maintaining organized workflows
- Answer phones, manage voicemail, and handle general inquiries
- Order and maintain office supplies and oversee general office upkeep
- Prepare and mail merchandise orders and organizational materials
Fundraising & Donor Management
- Process donations and prepare daily deposits
- Maintain and manage the donor database (eTapestry) and email contact lists (Mailchimp)
- Print and mail donor acknowledgment letters and maintain timely stewardship practices
- Support and manage the monthly donor program
- Track fundraising performance and maintain data for direct mail and other campaigns
- Create analytical reports to support fundraising strategy
Advocacy & Data Management
- Prepare and manage database lists for advocacy efforts
- Maintain accurate and up-to-date supporter and advocacy data
- Support the execution of advocacy campaigns and related data tracking
Qualifications
- Strong organizational and time-management skills
- Proficiency in database management and reporting (eTapestry or similar CRM systems)
- Ability to work independently in a small, fast-paced, mission-driven environment
- High level of attention to detail and discretion in handling sensitive information
- Proficiency in Microsoft Office Suite, including creating reports, managing data and mail merges
Preferred Experience
- Experience in nonprofit operations, fundraising, or advocacy
- Familiarity with email marketing platforms (Mailchimp)
- Experience supporting grassroots campaigns or legislative initiatives
Salary: $45-55K to start with benefits, including health care contribution and vacation days.
