The Administration Officer will provide a full range of administrative and/or program support to a business unit or program.

Areas of Responsibility: 

The Administration Officer will be mainly responsible for assisting the Country Director by completing special projects as requested, as well as routine duties including interacting with other stakeholders/organizations on the Country Director’s behalf, scheduling meeting and other logistics, taking meeting minutes, arranging transport, meal reservations, organizing CD office, collecting and distributing documents for signature, filling, advances, expense reports and travel arrangements. And he/she will also need to assist in the office administrative job. 

RESPONSIBILITIES AND SCOPE 

  • Act as the point of contact among executives, employees, and other external partners
  • Scheduling Country Director’s calendar and updating as needed
  • Arrange international and local travel arrangements for Country Director
  • Assist in renewing Country Director visa/stay as needed
  • Prepare international and local expense reports for Country Director
  • Make arrangements (visa, accommodation, transport and other logistic support) for international visitors
  • Schedule and organize in-house or external workshops/trainings/meetings and other logistics as necessary
  • Organize a filing system for important and confidential company documents
  • Keep Country Director’s Office organize
  • Handle Petty cash and monitor office operation expenses
  • General office management such as ordering stationary
  • Coordinate with Regional office and other TNC offices within the region as needed
  • Complete special projects or any other request as assigned by Country Director
Educational Background: 
Associates Degree plus 1-year experience or equivalent combination;
Skills/Experience: 
  • Experience managing diverse activities to meet deadlines;
  • Experience providing administrative support, including some or all of the following: phones/customer service, mail distribution, equipment maintenance, coordinating travel arrangements and meetings, or organizing files;
  • Experience working and communicating with a wide range of people; and
  • Experience writing, editing, and proofreading written materials.

DESIRED QUALIFICATIONS

  • University degree holder
  • Three years proven work experience in a similar position
  • Solid organizational and administrative skills, and attention to detail
  • Highly organized multi-tasker who works well in a fast-paced environment
  • Proficient computer and database skills
  • Advance English language skills
  • Excellent interpersonal communication skills
  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated;
  • Excellent customer service skills and focus
