The Armed Services YMCA is seeking a Military Outreach Representative to join our team in Woodbridge, VA.
Based at the Armed Services YMCA of the USA (ASYMCA) headquarters in Woodbridge, VA, the DOD Military Outreach Representative) is responsible for execution of the Military Outreach Initiative, which, in partnership with the Department of Defense (DoD), provides eligible military families and active duty personnel with access to youth development, family strengthening, and health and well-being programs through memberships at community YMCAs and other fitness facilities nationwide.
Areas of Responsibility:
- Serve as point of contact for all questions and issues related to the YMCA and DoD partnership.
- Serve as a subject matter expert for DoD Military Outreach Program.
- Review and enter all DoD contract invoices for payment accurately.
- Process all accounts payable within the accounting system for the DoD contract; print checks and provide to the EVP for Finance and Operations for signature and approval.
- Create awareness of ASYMCA and the DoD contract on all web sites and internal media; utilize VP for Marketing and Communications and Digital Content Coordinator for support in posting and updating information and ensuring it is accurate.
- Provide superior support, via email and phone, to all YMCAs inquiring about DoD program and billing information.
- Maintain a thorough working knowledge of the DoD contract requirements including all subsequent changes and modifications.
- Act as liaison between the YMCA’s and Military One Source in providing accurate and timely information to service members.
- Coordinate and maintain an up-to-date spreadsheet of billing errors and track through completion and payment.
- Assist in organizing and filtering contract information for quarterly audits.
- Monitor the qualification categories of all memberships and track renewal names for accuracy and completeness.
- Assist with DoD contract recordkeeping & maintenance thereof.
- Process DoD mail and mailing of checks for program.
- Participate in department, project and team meetings.
- Represent the Armed Services YMCA with a positive and professional demeanor.
- Incorporate the YMCA character values of caring, respect, responsibility, and honesty into the position.
- Develop and maintain effective working relationships with the National Headquarters Team.
- Adhere to ASYMCA’s organizational policies and procedures.
Educational Background:
H.S. Diploma or equivalent required; some college preferred.
Skills/Experience:
- 2+ years experience working in office environment required.
- Customer service experience preferred.
- Experience with accounting software preferred.
- Excellent written and verbal communication skills.
- Highly proficient with using computer, Internet, Microsoft Office, and basic office equipment.
- Detail oriented and excellent follow up skills.
- Strong interpersonal/human relations skills and able to deal with a wide range of relationships and situations.
- Able to present a professional and positive demeanor.
