Fully manages the school age program.  This includes, but is not limited to; after school sites, branch locations, transportation (routes, scheduling etc.), school break activities and summer programming.   Interpersonal and problem soliving skills are critical in this position.

Areas of Responsibility: 

LICENSING/STAFF DEVELOPMENT

  • Supervise all sites and locations the programs in all classrooms. Observe, evaluate programs, act as resource person staff, provide in-service training and conduct or schedule workshops as needed for staff development.
  • Assures compliance with state and local regulations as they relate to program areas. Ensures that YMCA program standards are met and safety procedures followed.
  • Develops and maintains relationships with state child care licensing agency, school administration, parent groups and other organizations and agencies related to assigned programs. Responds to all agency, parent and community inquiries and complaints in a timely manner.
  • Maintains proper records/department files. This will include but is not limited to; attendance records and recording of conferences between staff and parents.
  • Recruits, hires, trains, develops, schedules and directs personnel and volunteers as needed.
  • Develops strategies to motivate staff and achieve goals.
  • Reviews and evaluates staff performance.
  • Responsible for notice of warnings and terminations.
  • Conducts regular staff meetings.
  • Ensure that staff follows YMCA and State Minimum Standards policies and procedures at all times.
  • Responsible for compliance of staff certifications; CPR/AED/First Aid, Food Handlers and Child Care Affidavit, and any other required certifications.
  • Scheduling of conferences between staff and parents as needed.
  • Compiles program statistics. Monitors and evaluates the effectiveness of and participation in program.
  • Reports to Director verbally and in writing any and all variances to required standards as well as daily operations.
  • Assists with Program Committee meetings.
  • Assists in the marketing and distribution of program information.
  • Organizes special events for parents. Assists in YMCA fund raising activities.
  • Plan parent involved activities three times per year.
  • Expands program within the community in accordance with strategic and operating plans.
  • Provides staff leadership for annual fund raising campaign and committees as assigned.
  • Communicates appropriate information to public and private parties including school personnel.
  • Establish action plan in case of illness or injured of program participant.
  • Responsible for late night care of children which includes nightly meals, activities and cleans up.
  • Responsible to provide staffing for gym rentals.
  • Ensure staff is properly trained to make sure the gym is left in good order by all equipment put away and gym is clean each day.
  • Ensure late night staff adheres to closing procedures by walking through the building before leaving each night.
  • Responsible for securing the building at the end of each day.
  • May work at any location and adjust your schedule as to the needs of the association.
  • Adhere to association and position training requirements.

SCHOOL PROGRAMS

  • Manages, directs and coordinates the school age child care programs for all sites, including school and branch locations. Ensures high quality programs and establishes new program activities.
  • Responsible for transportation on school early release days. Organize activities for children on early release days and teacher in-service days.
  • Provides for upkeep of assigned program facilities and equipment and ensures the physical environment supports healthy living.
  • Ensure that staff at school sites qualifies for Child Care Licensing Minimum Standards for Site Directors.
  • Remain in constant contact with principals either by phone, email or in person
  • Must organize daily activities for school age children that are grouped according to their grades.
  • Visits schools sites bi-monthly, more often if needed.
  • Develops positive communication with parents.
  • Develop structured after school activities at all sites.
  • Secure volunteer opportunities for older children (humane society, food bank, nursing homes etc.)
  • Ensure each site has adequate snacks and supplies.
  • Oversee that staff work with the children to begin homework assignments.
  • Take part in the project backpack program, contact parents for pickup of backpack. Responsible for setting up and staffing booth.
  • Participates in city-wide assemblies in school programs to promote the YMCA.

SUMMER PROGRAMMING

  • Ensure that all field trips are appropriately staffed, meals prepared, water is provided and transportation adequately planned.
  • Organize and develop 12 weeks of curriculum, art activities, S.T.E.M activities, outdoor and indoor activities and field trip for all age groups.
  • Responsible for continuing relationship with First Baptist Church to participate in the Vacation Bible School Program, and the workshops they provide for staff.
  • In summer, schedule weekly assemblies of public service workers (dental, police, serenity house, fire stations etc.)
  • Make sure all staff is trained properly on application of sunscreen and insect spray during outdoor activities.
  • Organize swim schedule for all age groups.

TRANSPORTATION

  • Responsible for activities and transportation for before and after school; transportation to pick up children enrolled in afterhours care from sites.
  • Schedule and map all bus routes for before and after school transportation.
  • Schedules transportation of children and conducts appropriate specific training.
  • Ensures that all transportation vehicles are safe for transportation of children.
  • All transportation vehicles have updated first aid kids and fire extinguishers.
  • Report bus maintenance problems immediately, reports all incidents and accidents immediately.
  • May work at any location and adjust your schedule as to the needs of the association.
  • Adhere to association and position training requirements.
Skills/Experience: 
  • Highly desired - Directors Certification or Child Development Accreditation (CDA). If you do not have this you must be willing to get your directors certification within 6 months of hire.
  • Minimum of one, (two years preferred) of related experience, as a teacher, coordinator or supervisor of early childhood and/or youth development programs.
  • Must have one year or more experience working with children in a structured learning center.
  • Willing to apply for and pass all testing for and receive a qualified CDL License within 6 months of hire.
  • Minimum age requirement of 21.
  • Typical requirements within 30 days of hire include completion of: Child Abuse Prevention for Supervisory Staff; Working with Program Volunteers; CPR; First Aid; AED; Food Handlers Certification and Bloodborne Pathogens.
  • Completion and satisfactorily passing fingerprint background check.
  • Excellent interpersonal and problem solving skills.
  • Ability to respond to safety and emergency situations
  • Experience and the ability to relate effectively to diverse groups of people from all social and economic segments of the community
