Director, Project Management Operations

The driving force behind our organizational growth and success is having a skilled and dedicated project management leader working with project teams and the executive department. We are looking for a Director who will build, develop and plan a structure for maintaining Families USA’s ongoing project work. 

Areas of Responsibility: 

Central to this role is working with the Chief of Staff, Project Stewards and Leads to ensure that all project requirements, milestones, deadlines, and schedules are on track.  This individual will organize and lead project launch meetings, review project deliverables, prepare project status reports, and present regular updates to the Executive team, ensuring that our goal of accomplishing highly impactful project work is being achieved.  The Director should be motivated by a desire to optimize productivity and nurture success for highly matrixed projects from inception to completion.

 

Main responsibilities include:

  • In collaboration with the Chief of Staff, build and develop the project team to ensure maximum impact, by providing purpose, direction and motivation for the highly matrixed project work. 
  • Provide organization-wide project updates on a consistent basis to the Executive Director and Chief of Staff, about impact, strategy, proposed adjustments, and progress.
  • Work with the Chief of Staff, Project Stewards and Project Leads to determine and define project scope, milestones and objectives that align with organizational goals.
  • Establish and maintain processes for managing scope during the project lifecycle, setting quality and performance standards and assessing any barriers to project completion.
  • Work with the Development and Finance teams and ensure projects adhere to funder frameworks and all documentation is maintained appropriately for each project.
  • Develop and maintain project performance database, Asana, tracking overall progress and achievement of project milestones.
  • Report project risks and outcomes to the Chief of Staff and escalate issues according to project work plan, provide solutions where applicable and identify areas for improvement.
  • Coordinate the review and updating of the project management manual, training materials, and other documents as needed to enable successful implementation and evolution of the project management process.
  • Provide training to all staff and help build the skillsets of project team members.
  • Organize, attend and participate in key project meetings.

Educational Background: 
Project Manager
Skills/Experience: 

Bachelor’s degree in Business Administration or a related field.  8-10 years’ professional experience in project management in a consultancy, non-profit, think-tank, law firm, or other setting with matrixed project work.  Professional certification such as a Project Management Professional (PMP), or equivalent experience as a project manager preferred. 

To perform successfully in this role, applicant should possess the specific knowledge, skills and abilities outlined below:

Knowledge (acquired information necessary to do the job, kind of knowledge required for the job)

  • Proven experience in project management in a matrixed project environment.
  • Proven knowledge of creating and executing appropriate strategies and tactics that support project and organizational goals.
  • Experience in structuring project management platforms for internal processes.
  • Experience in coaching project team members to strengthen their abilities and skill sets.

Skills (position-specific learned activity, generally gained through training)

  • Excellent writing, verbal and presentation skills.
  • Excellent organizational skills with a high attention to detail and accuracy.
  • Sound judgment, analytical, problem solving and project management skills.
  • Exceptional interpersonal skills and ability to work with a diverse group of people.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word, and Outlook), and project management software like Asana is required.

  • Ability to interact with individuals from various levels of the organization.

Compensation/Benefits:

We provide an extremely attractive total compensation package, including competitive salary, hybrid work schedule: 3 days in office/2 optional WFH days, medical, dental, vision, disability and life, 403(b) retirement matching plan, 3+ weeks’ vacation, ten (10) Federal holidays and our offices are closed between Christmas Eve and New Year’s Day and many more exciting benefit programs.  Salary will be commensurate with experience, our salary range for this role is $95K - $110K.
