Sr. Business Unit Associate (Legal Administrative Assistant)

Performs highly responsible administrative work in support primarily of the Senior Vice President of the Office of General Counsel department, but will also include other General Counsel staff. Responsibilities include, but not limited to, time and schedule management, travel, preparing materials, expense reimbursement system input and organizing meetings.

Areas of Responsibility: 
  • Timely completion of assignments, including documents, correspondence, and spreadsheet development; electronic mail transmittals; on-line calendar updates.
  • Serves as resource to staff concerning office procedures and standard business practices. Determines, recommends, and manages systems that make our work more efficient.
  • Supports Senior Advisor to the CEO with AARP Services Inc (ASI) Board and Committee meetings as well as AARP Insurance Trust meetings. 
  • Responsible for timely updates of new and amended contracts into Office 365 PCMS system.
  • Upkeeps provider binder and office SharePoint site, as well as contract routing process and log.
  • Maintains daily review of ASI procurement in box and forwards to responsible attorney.
  • Responsible for weekly check of ASI whistleblowers boxes and provides any materials to GC in a timely and confidential manner.
  • Comfortable with conference room equipment to help facilitate presentations.
  • Composes administrative correspondence based on verbal and/or written instructions. Reviews and proofreads all communications.  Checks format, grammar, and punctuation, and makes corrections as needed.
  • Responsible for upkeep of corporate books and records.
  • Maintains upkeep of Legal library and office resources.
  • Performs other administrative functions, including processing sensitive and confidential matters.
  • Demonstrates “One AARP” cultural attributes and behaviors in all interactions.
Educational Background: 
Completion of High School, GED and/or Vocational training
Skills/Experience: 
  • 5 or more years of experience, or equivalent training and experience to include progressively responsible administrative and coordination experience working in a director and/or an executive office environment. 
  • Working knowledge of administrative practices including coordination, planning, and office management is required, as well as, good organizational skills and accuracy when working with details.
  • Work experience in a legal environment is desirable.
  • Skilled in using the personal computer and contemporary software packages.  Proficiency in PowerPoint and presentation development is helpful.

  • High degree of creative problem solving ability.
  • The position must be able to prioritize multiple projects and special assignments (sometimes with competing deadlines) and manage them to completion.
  • In-depth knowledge of a specialized area(s) within administrative support.
