Amnesty International USA (AIUSA) is seeking a Full-Time Senior Executive Assistant  (“SEA”) to join our Executive Office team. This position is based at our Washington, D.C. office.

Areas of Responsibility: 

The Senior Executive Assistant (“SEA”) is a member of AIUSA’s Executive Office team, reporting to the Executive Director (“ED”).  This position maintains the utmost confidentiality and requires extremely sound judgment and decision-making skills. The SEA provides administrative support to and coordination of the ED and the Board of Directors (“Board”) activities and schedules.  This position will manage the ED’s communications and calendar; ensure that the ED is informed of relevant issues and important developments; prioritize time-sensitive concerns and run the ED office efficiently and smoothly. Additionally, the SEA will coordinate and facilitate communication between the ED and all partners including the Board, executive management, key external allies, funders and employees. This individual will also manage board logistics and provide high-level administrative support to ensure that the Board can conduct itself within the legal and ethical duties of its role in accordance with AIUSA’s values and standards.

  • Manages all aspects of the ED’s office by providing information, executive level support, managing the ED’s schedule and travel arrangements and negotiating competing demands on her/his time to ensure the ED is organized and appropriately prepared for all items on his/her schedule.
  • Oversees planning, preparation, implementation, logistics and follows up for board meetings and events, including but not limited to, quarterly board mailings, committee meeting schedule/agenda, annual Global Assembly and regional forum, Board retreats, regional and annual Board events, the Annual General Membership meeting, and major donor/fundraising events.
  • Manages Executive Director’s calls and correspondence, including drafting and editing responses.
  • Represents the ED to others and serves as ED liaison including but not limited to working with the E-team, departments, staff, the Board, as well as key external allies.
  • Monitors budgets for the entire Executive Office: oversees invoice processing, monthly expense and budget reports.
  • Maintains the ED and Board’s files, reports, and contact lists.
  • Takes meeting minutes as needed; transcribe and distribute.
Skills/Experience: 
  • Four to six years of relevant experience required, a minimum of 2 years of demonstrated successful executive level support
  • Work independently with minimal supervision
  • Proficient in MS Office Suite
  • Flexible and responsive to changing priorities
  • Excellent project management, calendar management, time management and organizational skills
  • Ability to manage multiple tasks of differing type and function often simultaneously
  • Excellent interpersonal, oral, and written skills
  • Demonstrates professionalism, diplomacy, tact, good judgment, respect and discretion
  • Ability to collaborate with staff and members across the organization
  • This position requires flexible working hours with occasional nights and weekends
  • Requires flexibility to travel 10-20% of the time
