Administration and Support: 25% travel is required in this position. This person will be required to travel 10x a year (sometimes a full week and other times a few days). This is for Field Staff meetings and Advisory Meetings.

Areas of Responsibility: 
  • Provides support for the Senior Vice-President, three Vice-Presidents and four Directors.  
  • Maintains calendars, including helping to prioritize competing meeting requests.
  • Organizes meetings and calendars for SVP, VP’s, Directors and team, including material preparation, book rooms and room set-up, catering, etc.
  • Initiate and coordinate meetings with Providers to include negotiating contracts with hotels, travel agencies and other related entities to support Agent Advisory Councils for select providers and Field Team Meetings.
  • Schedules travel for SVP, VP’s and Directors and prepares expense reports. 
  • Must have, or quickly gain, full knowledge of current technology, including conference room equipment to help facilitate presentations and help troubleshot basic technology issues
  • Serves as a resource to team on office procedures, standard business practices and systems, with a goal of making team more efficient
  • Supports and covers for fellow Administrative Assistants in the completion of their duties during times of absences and/or heavy workloads 
  • Orders office supplies for department
  • Timely completion of all assignments imperative, including documents, correspondence, and spreadsheet development; electronic mail transmittals; on-line calendar updates, etc.
  • Performs other administrative functions, as assigned, including processing sensitive and confidential matters
  • Demonstrates AARP Values and behaviors in all interactions.
Educational Background: 
Completion of High School, GED and/or Vocational training required, an Associate degree a plus,
Skills/Experience: 
  • 5 or more years of experience or equivalent training and experience to include progressively responsible administrative and coordination experience working in a director and/or an executive office environment. 
  • A working knowledge of administrative practices including coordination, planning, and office management is required as well as good organizational skills and accuracy when working with details.
  • Skilled in using the personal computer and Microsoft office software packages, including Word, Excel and PowerPoint highly desirable.

  • The position must be able to work well under pressure, including prioritize multiple projects and special assignments (sometimes with competing deadlines) and manage them to completion.
