Provides support for the SVP, three Vice Presidents and four Directors of Customer Services. Maintains their calendars, including helping to prioritize competing meeting requests. Organizes meetings including material preparation, book rooms and room set-up, catering, etc. also including meetings with providers.
Areas of Responsibility:
- Must have, or quickly gain, full knowledge of current technology, including conference room equipment to help facilitate presentations and help troubleshot basic technology issues
- Serves as a resource to team on office procedures, standard business practices and systems, with a goal of making team more efficient
- Supports and covers for fellow Administrative Assistants in the completion of their duties during times of absences and/or heavy workloads
- Timely completion of all assignments imperative, including documents, correspondence, and spreadsheet development; electronic mail transmittals; on-line calendar updates, etc.
- Performs other administrative functions, as assigned, including processing sensitive and confidential matters
- Demonstrates “One AARP” cultural attributes and behaviors in all interactions.
- This position does not have direct financial and budgetary responsibility.
- This position does not have staff reporting to them to direct, however they must execute a great deal of coordination with individuals in and out of the department, ASI and AARP and providers.
- Work assignments contribute to the achievement of group goals and objectives.
- The position requires a great deal of information sharing, coordination, flexibility, and diplomacy and operates with the highest level of confidentiality.
Educational Background:
Completion of High School, GED and/or Vocational training required
Skills/Experience:
- 5 or more years of experience to include progressively responsible administrative and coordination experience working in an executive office environment.
- A working knowledge of administrative practices including coordination, planning, and office management is required as well as good organizational skills and accuracy when working with details.
- Skilled in Microsoft office software packages, including Word, Excel and PowerPoint highly desirable.
