The Global Events & Sponsorships team of the National Geographic Society is responsible for developing and producing high quality, impactful events and sponsorships that use the power to convene to drive programmatic outcomes, further visibility for our executives, programs and talent, and build donor loyalty and philanthropic support.
The Registration Specialist is accountable for spearheading all data related activity for our events, collaborating across multiple departments to build complex registration forms, generating and compiling invitation and RSVP lists, creating comprehensive reporting, and coordinating attendee management while providing first-class customer service to stakeholders and attendees.
The Specialist should have a deep understanding of how data can enhance a guest’s experience and provide analytics that define an event’s success.
- Data Management & Event Registration: Responsible for communicating between departments to develop invitation lists and to create and manage follow-up strategies. Build and maintain simple to complex registration sites and deploy invitations primarily using the Cvent platform. Complex sites could include 20+ registration types, travel management with multiple hotels, and complex session builds. Proactively build and generate invitation, RSVP and event metric reports based on individual event needs. Manage onsite check-in and badge printing. (60%)
- Attendee Management: Responsible for overnight rooms, booking of air and ground transportation, providing confirmations and personalized travel and event itineraries for event attendees. (20%)
- Communications: Represent the Global Events and Sponsorship team at meetings of all levels within and outside the organization. Regularly and clearly communicate agreed upon event schedules and goals. Work enthusiastically and collaboratively with colleagues to ensure the strategic goals of each event and the Society are met. Liaise between the events team and the systems integration team (Salesforce, CVENT, Marketing Cloud, etc.) to ensure accurate data management and reporting. (20%)
- 3-5 years of event or marketing experience. Experience working in Cvent, SalesForce, or a similar data management system required.
- Experience working in SalesForce, Cvent or a similar data management system
- Experience in and knowledge of event marketing and ticketing/registration systems
- A detailed and analytical mind, highly organized with excellent follow through
